Administrative Technician

Hours may differentiate based upon flexibility and seasonality, wherein availability to work a varied schedule is required.
Duties and Responsibilities
This position provides administrative support to the Water Distribution Division, assisting with financial processing, records management, and daily operations for 102 employees. Key Responsibilities:
- Financial Administration -Process and reconcile invoices, requisitions, transactions, and related records to ensure accurate, timely financial reporting
- Procurement Coordination -Secure goods and services, track purchase orders, and liaise with vendors to support cost-effective, on-time delivery
- Employee Lifecycle Support - Manage onboarding and offboarding checklists, maintain personnel files, and coordinate recognition and wellness initiatives
- Records & Document Management -Create, organize, and safeguard digital and physical records in accordance with City and departmental standards
- Operational Scheduling - Maintain division calendars, duty rosters, travel boards, and clean-out schedules to keep field and office teams aligned
- Meeting & Event Logistics - Reserve rooms, arrange audiovisual/Teams resources, and coordinate materials and catering for trainings, meetings, and divisional events
- Customer & Staff Interface - Serve as a primary point of contact, providing prompt, professional responses to internal and external inquiries
- Process Improvement & Reporting - Identify workflow enhancements, document standard procedures, and prepare clear reports to support data-driven decision-making
Typical Qualifications
Education and Experience: High School Diploma or GED and two years of related clerical and/or office support experience OR An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation. Licensing and Certifications:
- Valid North Carolina Class C Driver's License with a satisfactory driving record, or the ability to obtain within 60 days of hire. This position will be required to regularly drive a City vehicle to the downtown Raleigh Water office to collect business mail.
