Accounts Payable

Our client is seeking an experienced Accounts Payable Specialist to join our team on-site at our North Charlotte dealership. Commercial truck dealerships operate differently than standard retail auto stores; you will manage high-volume, multi-department payables across New/Used Truck Sales, Heavy-Duty Parts, Mobile & Shop Service, and Fleet Body Shop operations.

The ideal candidate understands 3-way matching for parts/inventory, vendor reconciliations, line-item PO matching, and the fast-paced flow of a commercial dealership environment.

Responsibilities

• Departmental AP Processing: Process, code, and route high-volume invoices daily across Parts, Service, Truck Sales, and Body Shop departments.

• 3-Way Matching: Perform rigorous 3-way matching for Purchase Orders (POs), Repair Orders (ROs), Packing Slips, and Vendor Invoices.

• Schedule Reconciliation: Maintain and clear dealership accounting schedules (e.g., A/P, Parts Inventory In-Transit, Sublet Repair Accounts, and Factory Payables).

• Vendor & OEM Management: Reconcile vendor and OEM statements monthly (e.g., Volvo, Mack, Freightliner, Peterbilt, International, Cummins), resolving discrepancies, credit memos, and core returns.

• Check Runs & Electronic Payments: Prepare weekly check runs, ACH/EFT payments, and process credit card statements with proper backup documentation.

• Intercompany & Fleet Accounts: Coordinate with service managers and parts counter staff to resolve open RO/PO mismatches and ensure accurate job costing on commercial fleet accounts.

• Compliance & Audits: Maintain W-9 records, assist with year-end 1099 processing, and support Controller during internal/external financial audits.
