What Will You Do as Mosaic Development Group's Administrative Assistant?
Administrative & Office Support
- Manage daily office operations, including ordering supplies, handling mail, and coordinating shipping needs.
- Maintain organized electronic and physical filing systems, ensuring important documents (invoices, contracts, closings) are accurately scanned, stored, and accessible.
- Track and prepare documents requiring review or signature.
- Assist with travel arrangements, reimbursements, and scheduling
Board & Leadership Support
- Assist with board and committee meeting logistics, including scheduling, preparing materials, and drafting minutes.
- Support communication with the board by preparing updates, letters, and reports under the Executive Director's direction.
- Gather and draft “mission moment” stories by interviewing residents for use in board communications and storytelling.
Team & Event Coordination
- Coordinate recurring team activities and mission-driven events (e.g., volunteer days, community drives, annual celebrations).
- Support planning and logistics for special events, such as grand openings and holiday gatherings.
Communications & Marketing Support
- Assist with basic website updates (news posts, photos, content).
- Coordinate photography needs for staff, clients, and properties.
- Draft and post simple but impactful social media content highlighting organizational updates, stories, and events.
- Support development of promotional materials and maintain consistency in templates and branding.
Grants & Reporting
- Assist with drafting, reviewing, and submitting grant applications.
- Support compliance and reporting requirements for existing grants.

- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal
- Demonstrated ability to provide a professional and polished representation of the organization to outside parties.
- Ability to work independently, prioritize effectively and perform well under pressure.
- Capacity to manage multiple projects and deadlines in a dynamic environment.
- Proficiency with Microsoft Office Suite and comfort learning new software (experience with website content management or social media a plus but not required).
- High school diploma or equivalent required.
- Two year's prior experience in administrative support, nonprofit, or affordable housing is preferred but not required.
- Valid driver's license and ability to travel within North Carolina and neighboring states to various projects sites.

Salary is commensurate with experience. This is a full-time, hybrid position. Mosaic Development Group's benefits package includes health insurance, vacation based on length of employment, 403(b) retirement plan with 3% matching contribution, dental insurance, life insurance, disability insurance and vision insurance.
