Basic Function

·Responsible for maintaining the integrity of the physical asset and maximizing the returns from the asset in accordance with the Company and Owner's objectives.

Relationships

·Maintains relationships with peers and all other team members within the company.

·Maintains relationships with suppliers, vendors, owners, and others serving the Company or the properties.

Duties and responsibilities

·The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position.

·Maintaining the physical asset & Owner interactions —

·Supervises work completed by employees, vendors and contractors.

·Assures adherence to specifications (contractual; operations manual).

·Conducts formal site inspections of properties on weekly/monthly basis, as required by contract and property needs

·Makes recommendations for physical repairs and/or replacements.

·Ensures observance of safety regulations.

·Ensures regular occupant (owner/tenant) interactions

·Builds rapport with owners, tenants, vendors and others with building use and interaction

Collections & billings —

·Works with Director of Property Management and Accounting team to ensure all collections in accordance with policies and procedures by governing documents and board of directors.

·Ensures notification of assessment changes to owners per direction

·Calculates and corresponds relating to all reconciliations, bill-backs and annual billings as may be required by property per direction

Financial reporting —

·Develops annual property management plan, operating budget and capital plan for presentation to Board/ownership for approval

·Reviews all monthly financial reports and ensures preparation of all operating and variance reporting as needed or required, by property.

·Approves property expenditures.

Administration —

·Works with Director of Property Manager on employee training and assures that all supervised employees and third-party contractors comply with the appropriate policies and procedures.

·Interfaces with outside professionals regarding legal, accounting, insurance, tax, and other matters, as appropriate.

·Ensures property files and records are maintained.

·Continually improves management and technical skills.

·Meetings —

·Scheduling of Board, Annual, Budget and Special Meetings as required

·Preparation of all deliverables for meetings to include agendas, exhibits, etc…

·Oversee Meetings at direction of Board of Directors

·Preparation of all post meeting minutes for official records and distribution of same to Board of Directors for approval and to all owners upon such approval

·Lease Administration for all properties —

·Lease file set up and upkeep; Maintain hard copy and electronic Master Lease files, including floor plans,CAD files, etc.

·Abstract all new leases, maintaining critical dates and follow up.

·Implement leases into Yardi.

Qualifications

Education:

·Minimum of two years’ experience in property/association management

·Bachelor’s degree or equivalent preferred

·CPM® or CPM® Candidate, or RPA preferred

·Real estate license required at hire or within six months of hire date (if applicable by State)

Specific Skills/Knowledge Required:

·Strong leadership and motivational abilities.

·Exceptional communication skills and ability to interact with wide range of people.

·Attentive to detail.

Office & Computer Skills:

·Microsoft Office applications

·Yardi preferred

·AvidXchange preferred
