Hours: Approximately 10 hours per week to start

Overview
Global Defense, Inc. (GDI) is seeking a reliable, organized, and discreet Personal & Office Assistant to provide direct, on-site support to the company’s founder and executive office in Pinehurst.
This role combines calendar coordination, paperwork and filing, light social media posting, board meeting document support , and general office organization. It’s ideal for someone detail-oriented, self-driven, and comfortable working in a professional home-office environment.
Key Responsibilities
- Calendar & Scheduling
- Manage and update the executive calendar, including appointments, meetings, and occasional personal scheduling.
- Handle confirmations, reminders, and adjustments as needed.
- Maintain punctuality and organization across all scheduled activities.
- Office Organization & Filing
- Maintain tidy and functional office and workspace areas.
- File, label, and archive physical documents; organize incoming mail and paperwork.
- Digitize and maintain important records for easy retrieval.
- Administrative & Document Support
- Assist with paperwork, correspondence, and documentation tasks.
- Prepare and organize materials for Board Meetings , including draft agendas, printed minutes, signature pages, and ledgered action records.
- Track completion of board documents and maintain the corporate record binder.
- Support light errands and supply management as needed.
- Social Media Support
- Post pre-approved content and announcements on company or executive social media accounts.
- Maintain consistency and professionalism in tone and timing.
- Confidential Assistance
- Handle all materials and information with absolute confidentiality.
- Exercise sound judgment in both professional and personal matters.
Qualifications
- Preferred but not required: Prior experience as a personal assistant, executive assistant, or office organizer.
- Strong initiative and self-motivation with the ability to anticipate needs and take action independently.
- Excellent organization, communication, and time-management skills.
- Proficiency with Microsoft 365 and/or Google Workspace tools.
- Reliable, trustworthy, and punctual; maintains a calm and professional demeanor.
- Must be based in or near Pinehurst, NC, and available for all work on-site.
Compensation
- Hourly rate commensurate with experience.
- Approximately 10 hours per week to start, with potential for growth.
