**Paralegal / Legal Operations Analyst, Intellectual Property**
Ralliant's IP team protects and grows enterprise value by turning innovation into durable competitive advantage. We're expanding the team with an IP savvy Paralegal/Legal Ops Analyst to (1) keep our patent and trademark work humming on time, (2) streamline legal operations and vendor/AP workflows, (3) drive smarter portfolio decisions with data, (4) scale repeatable, automated processes in the tools our team already uses, and (5) Artificial Intelligence use and expansion.
**What you'll do**
**IP Prosecution & Portfolio Support**
+ Oversee and coordinate all stages of the trademark life cycle, including conducting searches and reviews, managing filings and registrations, and handling renewals.
+ Coordinate the end-to-end lifecycle for invention disclosures, provisional filings, and nonprovisional/foreign prosecution in partnership with in-house counsel and outside firms.
+ Track critical dates and filings; confirm outside counsel actions (e.g., U.S. and foreign filings, fast track/first file checkpoints), and surface risks proactively.
+ Run and/or commission novelty/FTO searches with outside counsel; organize results and deadlines.
+ Facilitate and capture outcomes from the weekly invention disclosure triage/working session; keep actions current and visible for stakeholders.
**Legal Operations, Systems & Automation**
+ Build light‑weight AI bots, automations and work management (Planner/Power Automate/SharePoint) to remove manual steps and improve visibility.
+ Administer, optimize, and train teammates on core IP systems.
+ Maintain structured lists and queues and ensure requests and attachments are complete and auditable.
**Vendor Management, Invoicing & Budget Support**
+ Create strong budget forecasts and budgets from both a monthly and annual basis.
+ Serve as day-to-day coordinator for outside counsel and service providers (e.g., ensuring clean PO/statement of work setup and on-time payment).
+ Track the IP operating budget across tools/providers (CPI, WebTMS)
+ Stand up and document standardized invoice intake/approval flows via Legal Tracker to replace email only handling.
**Analytics & Reporting**
+ Create and manage PowerBI dashboards for all data reporting and KPI tracking.
+ Connect patent assets to products/business metrics to illuminate ROI (e.g., margin uplift vs. fleet baselines) and inform portfolio decisions.
+ Produce recurring dashboards for filing velocity, spend vs. budget, annuity exposure, cycle times, and aging-driving corrective actions with the IP team.
**Cross Functional Collaboration**
+ Work closely with engineers, product leaders, finance/AP, and regional operating companies (e.g., Tektronix, Qualitrol, PacSci) to remove friction and keep IP work moving.
**What You'll Bring**
**Requirements:**
+ 5-10+ years in an IP paralegal and/or legal operations role supporting both trademark and patent portfolios (in-house preferred).
+ Experience reviewing and advising on trademark searches and filing decisions.
+ Hands-on familiarity with IP systems and data-ideally including CPI (docketing), WebTMS (trademarks),
+ Experience coordinating outside counsel and FTO/novelty work; strong document and deadline discipline.
+ Proficiency with Microsoft 365 (Excel, SharePoint, Teams), low-code tools (Planner, Power Automate, Azure AI) to build simple flows and trackers, and PowerBI to build data reports.
+ Comfort working with Finance/AP on POs, invoice exceptions, vendor onboarding, and budget tracking.
+ Clear, concise communication and the ability to drive alignment across legal, engineering, product, and finance.
**Nice To Have:**
+ Paralegal certificate and/or IP-specific accreditation
+ Extensive AI bot creation experience
+ Experience with OSS governance and license request workflows
+ Prior work consolidating multi-opco IP data and presenting insights for leadership
**Success in 6-12 months looks like:**
+ **Automation wins:** at least two manual processes replaced by simple, documented automations in Planner/Power Automate/SharePoint.
+ **Material cost reduction** of outside counsel spend, specifically trademark related.
+ **Leverage the Ralliant Business System** tools for continuous improvement.
+ **Ontime, no surprises docket:** deadline adherence and audit-ready records across matters.
+ **Cleaner AP flow & predictability:** invoices processed within SLA; budget vs. actuals tracked monthly with variance explanations
+ **Actionable portfolio visibility:** dashboards linking assets to products, margins, and priorities used in IP reviews via PowerBI.

**Pay Range**
The salary range for this position (in local currency) is 71,100.00 - 132,100.00
