Job Summary: The main function of the receptionist is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. Job Responsibilities: • Greets and directs visitors. • Provides information and answers the telephone or console switchboard. • Receives and sends packages via couriers. • Maintains visitor log and/or call record, provides security passes/badges, typing, filing or other simple clerical functions. • Maintains boardroom schedule and equipment. • Provide other administrative support as required: typing, filing, photocopying, binding books, and preparing mailers. Skills: • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills. • Ability to work independently and manage one’s time. • Ability to keep information organized and confidential. • Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint. Education/Experience: • High school diploma or equivalent required. • 5-7 years experience required.

Ensure the following steps are consistently applied with every guest interaction:

ID Verification : Kindly and clearly inform all guests that, as a standard procedure, they must present a valid, physical government-issued photo ID upon check-in. Emphasize that this is for their security and ours, and politely reiterate that digital copies cannot be accepted at this time. Your clear communication here sets a professional and secure tone from the outset.

Badge Visibility: Â Once a guest has checked in, ensure they receive a guest badge and clearly explain that it must be worn visibly at all times within the office. This simple step helps everyone identify our visitors and contributes to a smooth flow and a sense of order within our workspace.

Guiding Our Visitors: Â The host bears direct responsibility for actively escorting their guest(s) for the duration of their entire visit. This not only ensures security protocols are followed but also underscores our commitment to attentive and personalized support, ensuring our guests feel welcomed and guided.

Efficient Departure: Remind the guests that before they leave they must return their guest badge to Guest Services at the end of their visit. This step ensures a seamless end to their visit and helps us maintain accurate visitor records.
