1st Shift 6:00 AM - 2:30 PM (alternating weekends)


General Description of the Job Class

This is a highly active, physically demanding role responsible for the computerized order entry, distribution of heavy bulk dialysis solutions, and the shipping and receiving of hospital merchandise. The position maintains effective inventory management by meeting supply needs with prompt delivery and ensuring the accuracy of issues. Associates in this role spend the vast majority of their shift on their feet, performing rigorous physical labor to ensure life-saving equipment and fluids are available where needed.

Duties and Responsibilities of this Level

Level 1

Level 1 associates are responsible for ensuring optimal inventory management for in-scope facilities. Because this role centers on moving high-volume, heavy liquids, Level 1 staff are required to:

  • Physically transport and distribute an average of 35 heavy cases of dialysis solution supplies daily across the hospital, requiring significant stamina and lifting capability.

  • Safely navigate and maneuver hospital corridors, walking upwards of 10,000 steps per shift while pushing and pulling heavy supply carts loaded with 3,000 to 4,000 liters of dialysis fluid (which may require up to 400 pounds of daily exertional force).

  • Lift, stoop, bend, and reach continuously to manually move and stock heavy supplies into appropriate shelving locations once receiving is complete.

  • Accept, inspect, and sign for deliveries from distributors, unloading shipments and filing packing slips.

  • Perform regular cycle counts and mid-year/year-end inventory, which requires extended periods of standing, walking, and physical auditing of stock levels.

  • Check expiration dates on supplies, documenting and safely discarding expired heavy fluid products as needed.

  • Use appropriate Supply Chain technologies (e.g., Pyxis and SAP) and handheld scanners to document the movement of supplies while on the go.

  • Deliver non-supply items (e.g., medical gas cylinders, linen) in a timely manner.

  • Prepare and ship vendor returns and physically rotate stock in all areas.

  • Demonstrate excellent customer service when interacting with end-users to address supply questions, ensuring all STAT orders are rushed and completed according to service level agreements.

  • Maintain clean, hazard-free, and organized Supply Chain work areas and supply storage rooms.

  • Proactively provide recommendations on operational efficiency improvements to Supply Chain management.

Level 2

In addition to the rigorous physical Level 1 responsibilities, a Level 2 associate is expected to spend at least 50% of their time performing the following advanced functions:

  • Act as a mentor and preceptor to all Level 1 Associates, working alongside them on the floor; serve as a back-up Team Lead if necessary.

  • Physically deliver, manage, and coordinate supplies and other products to off-site clinics and/or facilities as needed, which involves loading and unloading heavy materials.

  • Manage inventory, assist in physical preparations, and perform the annual inventory.

  • Oversee consignment inventory, related processes, and inventory management of procedural areas.

  • Effectively use the ERP system to pull reports, find products, use handheld technologies for delivery and PAR replenishment, and run reports in SAP to close out daily transactions.

  • Troubleshoot supply shortage issues, manually verify stock levels, and articulate the known impact.

  • Proactively collaborate with Supply Chain stakeholders to adjust PAR levels and address slow-moving items based on usage.

  • Serve as a Subject Matter Expert (SME) for the TIMS module, including receiving and documenting.

  • Demonstrate excellent customer service when interacting with customers in high-stress environments, including nursing floors and OR environments (e.g., physicians, surgical techs, nurses).

  • Participate in PERT, OR EDIT, and VAT discussions as assigned; pull EPIC and Pyxis reports to analyze data.

  • Access and utilize Vendormate for vendor management and work with customers to help reconcile invoices.

  • Complete all assigned tasks with minimal supervision from the Team Lead and Manager.

For Levels 1 & 2

All associates must have the ability and willingness to perform additional job functions necessary to ensure safe patient care practices as directed by Supply Chain management. Associates are required to be cross-trained and perform other Supply Chain-related physical and administrative responsibilities when needed. Working at Duke University Health System requires the ability to work cooperatively, communicate well with others to achieve team goals, respond to customers' needs in a professional manner, and work effectively in a computerized environment.

Required Qualifications

Education

  • High School Diploma or GED is required.

  • Some college-level coursework is preferred.

Experience

  • Level 1: At least one year of work experience in distribution, warehousing, shipping, receiving, logistics, material handling, customer service, inventory control, or a comparable service line. Experience in a fast-paced, highly physical work environment is strongly preferred.

  • Level 2: At least two years of work experience in distribution, warehousing, shipping, receiving, logistics, material handling, customer service, inventory control, or a comparable service line.


Degrees, Licensure, and/or Certification

  • A valid Driver's License may be required.


Physical Demands & Abilities

  • Heavy Pushing/Pulling: Must have the ability to safely push and pull carts loaded with 3,000 to 4,000 liters of dialysis solutions, requiring up to 400 pounds of exertional force daily.

  • Heavy Lifting & Moving: Must have the ability to exert 20 to 50 pounds of force occasionally, 10 to 25 pounds of force frequently, and up to 10 pounds of force constantly to move heavy objects.

  • Stamina & Mobility: Daily duties require walking approximately 10,000 steps per shift, alongside frequent reaching, lifting, stooping, and bending.

  • Teamwork & Demeanor: Ability to work cooperatively with others, possess a sense of urgency, maintain a proactive customer service philosophy, and contribute to problem-solving.

  • (Level 2 Only): Must also possess experience using an ERP system and demonstrated competency in inventory management.
