Ambassador is currently hiring Order Entry Representatives. We are seeking candidates with at least one year of order entry experience. This is a permanent opportunity with one of our valued manufacturing clients located just off of Westinghouse Blvd. in Charlotte. Starting pay is $17.00 per hour. Essential Duties and Responsibilities:

Ordering Processing (incoming):

• Process customer orders from incoming inspections, customer PO’s, or e-commerce.
• Enter pertinent information into the marketing database.

Quote Processing:

• Process quote requests for new and remanufactured rolls and Harper Scientific supplies.
• Work with Sales/Tech to confirm roll dimensions, prints, or part numbers as needed.

Customer Complaints:

• Write up complaint forms when required (i.e., roll or product being returned), coordinating with all necessary departments and management to make them aware of the customer complaint.
• Follow up with customer/outside sales team once disposition is determined.
• Process credits/corrections as necessary

Order Processing (outgoing):

• Matching the correct final inspected shop orders with the correct customer order.
• If the order is ready to ship, verify the purchase order number on the order and that all additional repairs have been charged.
• Assist accounting in resolving past-due invoices if the order is ready to ship and verify product code and quantity.

Marketing Database:

• Updating is a must.
• Maintaining and follow-up calls you are responsible for is required.
• Ongoing calls to active/inactive accounts are required.

Telephones:

• Responsible for assisting in answering all incoming calls by the second ring. Redirecting calls to necessary parties, taking messages as may be required.
• Handle customer inquiries on orders (i.e. notification of rolling coming in, ship dates, possible invoicing questions, freight billing, questions, any and all customer concerns, notify Customer Sales/Service Manager and/or Supervisor immediately).

Sales:

• Actively maintain current accounts by phone and always work in “teamwork” with the field sales/service representative.
• Work effectively and efficiently with technical service/field sales/production to get rolls in process or waiting to process off hold.
• Able to effectively and efficiently coordinate efforts of all departments required on any and all customer concerns.
• Always effectively work as a team with designated field sales/service, customer service representatives, and other departments to efficiently handle a growing customer base.

Filing:

• Responsible for refiling any contact files or customer order files pulled for any reason, as directed by management.

Additional Responsibilities:

• Follow all Standard Operating Procedures and Standard Practice Instructions.
• Ability to work overtime as required by the company.
• Other duties when necessary, as specified by management.
• Total accountability (all aspects of the position).

Qualifications:

• High School diploma, or equivalent
• Strong verbal and written communication skills
• Strong telephone etiquette
• Experience as a Customer Service Representative, preferred
• Mathematical aptitude
• Accurate data entry
