We are looking for a Construction Contract Administrator to provide assistance to the Project Managers, Construction VPs, and SVP of Finance by receiving, analyzing, processing, and administering customer construction contracts, purchase orders, and change orders. Process weekly and monthly billing from subcontractors and vendors. Compiles, reviews, and coordinates contract information with and between Customers, Project Managers, Construction VPs, and Development teams.
As a Construction Contract Administrator your primary responsibilities include:
- Receive and validate Contracts, Purchase Orders, Change Orders, and Letters of Intent from Construction Management Staff
- Lead and support all facets of construction contract administration
- Ensure proper approval and execution of construction contracts, purchase orders, and change orders by appropriate company personnel (i.e., SVP of Finance, Construction VP’s, Project Manager, etc.)
- Analyze and validate construction contract and project information to ensure they comply with company and corporate policies
- Produce approved construction billings per contract terms each month in Procore
- Manage Month End closing duties for Construction Contracts and Billing functions
- Review AIAs for complete documents and accuracy (i.e., Notarized, Lien Waivers, Certification Sheets)
- Create, maintain, and track joint check agreements
- Closeout projects reviewing all documents (i.e., warranty letters, final lien waivers, COIs)
What we are looking for in our next candidate:
- Three to five years related Contract Administration or Construction Billing experience or equivalent combination of education and experience
- 2 years in a Paralegal role a plus
- Proficiency in Excel or equivalent spreadsheet software and Microsoft Office products
- Working knowledge of Sage/Timberline accounting system software, Procore, and DocuSign preferred
- Attention to detail is mandatory
- Ability to read, analyze, and process contract documents and financial reports
- Ability to work with various personnel to complete the assigned duties (Executive Management, Project Managers, Finance Department, Subcontractors, etc.)
- Ability to respond to common inquiries or complaints from subcontractors, regulatory agencies, or members of the business community
- Ability to effectively present information to all levels of the organization
- Excellent verbal and written skills required.
