Revenue Recognition and A/P Accountant (Contract position)

Project Overview and Scope of Services
The Revenue Recognition and A/P Accountant will play a critical role in our financial health during a period of transition. The hours requirements for this role will be approximately 25-32 hours/week. The scope of the project will cover all aspects of grant administration, from tracking and financial reporting to data management. Working closely with our Advancement, Programming, and Finance teams, they will optimize grant processes, ensure timely revenue recognition, and provide general accounting support, including accounts payable assistance, to help the organization achieve its strategic goals.
The work will be hybrid in nature, with 2-3 days based out of our office at 2501 University Dr, Durham, 27707. During the training period, this person may need to be in our office more often. They will work closely with the Senior Director of Finance and the Senior Associate Director of Finance. The ideal start date is November 3, 2025.
Scope of Services
The Accountant will be responsible for the following deliverables,
Grant Administration and Reporting
- Work with the Advancement team, Senior Director of Finance, and program directors to gather the necessary data required for grant proposals and grant reports to meet due dates.
- Create, maintain, and regularly update communication to all involved Book Harvest staff (program personnel, finance personnel) regarding upcoming deadlines for all grant reports.
- Collaborate with the Advancement team to collect and communicate new grant requirements, including projected measurable outcomes to be collected and allocation of budgets.
- Create budgets and P&L reports in QuickBooks for all grants; coordinate regularly with the Senior Associate Director of Finance to ensure that expenditures on grants are correct in QuickBooks.
- Coordinate with the Senior Director of Finance and Chief Administrative Officer (CAO) on planning, purchasing, and expense allocation for all grants.
- Ensure that program staff have timely, accurate information about grant spending
- Update all grant reporting and recording in all grant tracking systems daily
- Upload relevant reports and update information in databases, as appropriate.
- Compile all reporting required by sources of funding, including timely submission of receipts, reimbursement reports, and compliance data.
Other Accounting Support
- Manage all deposits into QuickBooks, make timely deposits with the bank, and ensure correct revenue recognition in all accounting and grant tracking systems. Keep the Advancement team updated as to revenue received, including checks, wire transfers, and ACH deposits
- Review and process credit card expense reports with the Senior Associate Director of Finance and receipts submitted on a bi-monthly basis to ensure each is tagged to the appropriate grants.
- Liaise as needed with the Senior Associate Director of Finance to ensure accurate and organized accounting information.
- Meet with the Senior Director of Finance on a weekly basis for weekly check-ins and vendor payments
- Manage the project tracker to keep it up to date.
Requirements
To successfully complete the deliverables listed above, we would require someone who is superbly organized with strong time management and communication skills. This person should also have a strong background in non-profit accounting with a focus on grant management. This individual demonstrates experience in these essential areas:
- At least three years of non-profit accounting experience with a strong understanding of grant accounting management and GAAP, preferably with reimbursable and government grant management experience
- Advanced skills with QuickBooks online (especially with using projects and classes), Excel, and Google Sheets
- Well-organized and dependable individual with meticulous data entry skills and a proven ability to adhere to strict deadlines.
- Strong writing skills and the ability to communicate objectives and goals in clear, concise, and compelling language;
- Outstanding interpersonal skills;
- Self-motivated with initiative to learn; proactively asks for help, and is solution-oriented
Salary Description
$30-40/hr
