Job Summary
The Safety Documentation Specialist provides essential administrative support to the Safety Department, ensuring compliance with workplace safety regulations and maintaining accurate safety documentation. This role assists with incident investigations, records management, and enforcement of safety policies. Reporting directly to the Safety Director, the Safety Documentation Specialist plays a crucial role in ensuring safety standards are met across all projects.
Major Duties and Responsibilities- Ensure compliance with OSHA regulations, local laws, and client-specific safety standards per project specifications.
- Enforce site safety procedures and client-specific safety plans.
- Conduct risk assessments and Job Hazard Analyses (JHAs), and maintain required safety documentation (permits, reports, SDS).
- Assist in the investigation, documentation and reporting of incidents, near misses. Ensure all records are completed and filed appropriately.
- Oversee PPE condition, inventory, and ensure timely equipment delivery.
- Maintain accurate, up-to-date safety records to support audits and client reporting.
- Provide regular safety reports and updates to management and clients.
- Develop and update safety templates to meet construction and contract requirements.
- Lead weekly safety meetings and implement seasonal safety campaigns (e.g., heat stress, fall protection).
- Coordinate with the HR department to schedule training courses and ensure records are kept up to date.
- Attend safety meetings and collaborate with clients, subcontractors, and suppliers to address safety concerns.
- Perform other duties as assigned.
Required Education and Experience
- Safety experience required.
- Excellent computer skills, Microsoft Office (Word, Excel, PowerPoint and Outlook).
- High School Diploma or equivalent.
- Minimum of 2-4 years of administrative duties.
- Strong Organizational skill and time management.
- Excellent interpersonal skills coupled with an energetic attitude are of utmost importance.
- Effective verbal and written communications skills.
- Strong ability to follow instructions and work with a sense of urgency.
- Willingness to establish and maintain effective working relationships.
