General Statement of Duties Performs a variety of responsible administrative, digital presence and communication duties in managing the office operations for the Waste Reduction Partners Program in the Land of Sky Regional Council.

Distinguishing Features of the Class An employee in this class independently performs varied administrative, website, information and database management, office organization, customer and volunteer interface, research, writing, event coordination, communications and special projects assistance. Work involves defining, establishing and maintaining operating forms, procedures, and standards for this program statewide. Considerable judgment, initiative and creativity in designing, organizing and managing complex records, reporting and filing systems are required in performance of the job. Public contact is a strong aspect of the work and requires tact and diplomacy. Substantive knowledge of the program and of modern, efficient office operations practices are required. Work is performed under regular supervision and is evaluated through observation, conferences and the quality and effectiveness of office operations. Works in cooperation and compliance with Council's mission and other policies and procedures as applicable.

Duties and Responsibilities Essential Duties and Tasks

  • Establishes standards for administrative operations including forms, reporting, processes and procedures for
statewide staff services; organizes office operations.
  • Sets up and maintains WRP program website in conjunction with the LOSRC design; sets up components, file
management, module management, etc.; troubleshoots content issues, links, registration, etc and interfaces with hosting company on performance issues, updates and trains volunteers on use; debugs problems that arise; plans future upgrades; reviews expand options; reviews statistics and analytics of site.
  • Assists program director with grant proposal development and reports; pulls and gathers data and drafts format
of proposed budget; reviews trends in expenditures; proofs content of grant and proposals assuring compliance with guideline in Proposal for Grant.
  • Designs and assists with production of newsletters, brochures, flyers and publications for print and
electronic distribution; uses specialized design software; makes digital pictures and manipulated images for communications.
  • Designs tracking database on in cloud platforms to track client assessment project data; set up filtered views of
database as needed; enters data; files and retrieves materials and data using databases and files.
  • Assist in WRP volunteer administration including maintenance of assessors' files; processes, codes and submits
expense reports and assessor's travel, assists with onboarding processes and paperwork for new volunteers.
  • Manages procurement and organizes supplies and needs for the WRP office and staff.
  • Schedules meetings; maintains records of meetings.
  • Attends meetings of volunteer assessors; provides information and training tips on use of computers, web
platforms, SharePoint, the Joomla-based website, spreadsheet software, Internet and email.
  • Answers the phone; handles questions from the public, volunteers, etc.; handles mail, emails and web inquiries.

  • Skill in design of websites and troubleshooting problems; ability to train others in use of computers and the
program website.

  • Ability to interpret and analyze program content and make necessary decisions.
  • Ability to summarize, compile, and tabulate narrative and numerical material.
  • Ability to schedule and coordinate a variety of appointments, meetings, and conferences.
  • Ability to independently compose correspondence.
  • Ability to use sound judgment and to determine creative strategies in office management duties.
  • Ability to establish and maintain effective working relationships with coworkers, program volunteer assessors,

supervisors, program participants and the public.

Physical Requirements
  • Must be able to physically perform the basic life operational skills of fingering, talking, hearing, and repetitive
motions.
  • Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible
amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Must possess the visual acuity to work with data and figures, to operate a computer, and to proof and edit

materials.

Desirable Education and Experience
  • Graduation from a two year of college with a degree in communications, journalism, office systems or related

field and considerable experience in administrative office management duties; or an equivalent combination of education and experience.
