What You’ll Do

As an Automotive Service Department Scheduler, you’ll help ensure customers receive prompt, professional, and efficient service scheduling support while helping maintain workflow within the service department.

Customer Communication & Scheduling

  • Answer incoming calls and assist customers with scheduling service appointments
  • Schedule appointments based on shop capacity, technician availability, and workflow guidelines
  • Respond quickly to customer phone calls, internet scheduling requests, and live chat inquiries
  • Confirm scheduled appointments and follow up on missed appointments
  • Assist customers with questions regarding vehicle maintenance recommendations and service needs

Customer Follow-Up & Retention

  • Conduct outbound follow-up calls after service appointments to ensure customer satisfaction
  • Follow dealership processes for declined services, lost customers, and future appointment scheduling
  • Send service reminders, coupons, promotions, and customer communication materials
  • Encourage satisfied customers to leave online reviews and feedback
  • Help maintain strong customer retention through consistent communication and follow-up

Administrative Support

  • Maintain accurate customer notes and appointment information within dealership systems
  • Work closely with Service Advisors and department leadership to support workflow efficiency
  • Assist with maintaining organized scheduling processes and communication records
  • Support additional service department administrative tasks as needed

Requirements:

  • Strong computer skills including Outlook, Excel, Google Sheets, and Word
  • Dual-screen experience preferred
  • Previous customer service or appointment scheduling experience preferred
  • Valid driver’s license with a clean driving record
