Office Administrator / Customer Support
- Manage daily office operations and ensure an organized, efficient workspace
- Handle inbound and outbound email and phone communication with suppliers, vendors and clients
- Work with internal teams and external companies to ensure smooth management of billing and payments
- Work with the Facilities Manager to schedule inspections and repairs. Communicate with all established vendors to schedule and obtain quotes for any needed upfits or repairs
- Maintain filing systems (physical and digital)
- Assist management with administrative projects and tasks
- Serve as the first point of contact for client inquiries.
- Respond promptly and professionally to client questions and concerns
- Manage inbound invoices from vendor partners
- Resolve client/customer issues efficiently and escalate when required
- Maintain accurate records utilizing internal systems
- Follow up with vendors, the client, and internal team members to ensure a speedy resolution
- Proven experience in office administration and/or customer service
- Strong written and verbal communication skills
- Excellent organizational and multitasking abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with CRM systems is a plus
- Strong problem-solving skills and attention to detail
- Professional, friendly, and customer-oriented demeanor
- Ability to work independently and as part of a team
- Diploma or degree in Business Administration or related field
- 1–3 years of relevant experience
- Experience in fulfillment, shipping and receivng
- Bi Lingual (spanish/english)
