Position Summary: The People and Culture (HR) Generalist will be responsible for assisting the Director of People and Culture in all aspects of HR administration including but not limited to managing employee benefit programs and compliance; assisting in HR process, practice and policy development; leading talent acquisition, new hire onboarding and orientation; and providing guidance and support on employee relations matters. This position is expected to uphold all HR and MANNA FoodBank policies and practices to ensure fair and consistent application. The People and Culture Generalist maintains up-to-date knowledge of local, state and federal employment law and compliance requirements. The Generalist will serve as a backup to the Director of People and Culture. This is a highly visible position within the organization and often serves as the first representative of MANNA that job candidates and new employees meet. The role requires a high degree of professionalism, confidentiality and discretion as well as the ability to exercise good judgement and to prioritize and manage multiple projects simultaneously with minimal supervision.

Essential Duties and Responsibilities:

HR Benefits and Human Resource Policy Administration:

  • Responsible for maintaining knowledge of all Human Resources and MANNA FoodBank policies & procedures.
  • Lead the communication, interpretation, and upkeep of employee handbook, supervisor manual, as well as other policies and process documents, will contribute to the development of food bank policies, practices and procedures.
  • Identify, recommend, and work with the Director of People and Culture to implement competitive benefit plans that align with our goals, budget and culture.
  • Manage MANNA benefits administration (Medical, Dental, Vision, Life, STD, LTD, FSA, HSA, and HRA) along with the People & Culture Coordinator, including maintaining benefit platform information for employee enrollments and deductions; resolve system issues or errors for accuracy of all plan offering details, deductions and compliance; lead annual open enrollment process; complete monthly billing reconciliation; ensure timely distribution of all plan notifications and communications.
  • Maintain effective relationships with benefit providers, brokers, and TPAs; engage with benefits broker to resolve all benefits-related issues.
  • Participate in relevant organizational and professional development meetings and training such as WNC HRA, IHP, etc. and keep up to date with the latest HR tr ends and best practices.
  • Administer FMLA, PTO, and other leaves of absences including Short Term & Long-Term Disability.
  • Assists the Director of People and Culture with maintaining relevant HR metrics, maintaining OSHA & Safety data, compensation evaluation, total compensation sheet compilation and distribution, etc.

Employee Relations and Engagement:

· Provide answers to general employee questions and concerns regarding Human Resource policy, procedures, or employee handbook interpretations.

· Answer inquiries on employment verifications, benefits and claim coverage, job openings, and company policy questions.

· Consult with managers to resolve employee relations issues; escalate to the Director of People and Culture as necessary.

· Support the organization’s EDI initiatives and assist in championing MANNA’s culture and values across the organization.

· Crosstrain and occasionally provide cross-departmental support in operations, fostering relationships across departments to enhance collaboration and support a positive workplace culture.

Recruiting, Onboarding, & Offboarding:

  • Leads, coordinates and acts as primary contact for ongoing recruitment efforts of full-time and part-time MANNA staff, AmeriCorps members, temporary staff, interns and all other non-volunteers.
  • Supports job factor rating analysis and job description development with Director of People and Culture and hiring manager
  • Manages job posting process, applicant tracking, and pre-screening, scheduling, interviewing and candidate communications.
  • Manages new hire onboarding and orientation process; coordinates and tracks background checks, drug screenings; completes reference checking, offer letters, new employee files and documentation, and supports orientation planning
  • Assists with verification of I-9 documentation and compliance
  • Lead the off-boarding process including conducting exit interviews and ensuring all administrative tasks are completed.

General Human Resource Administrative Support:

· Participate in the development of organizational guidelines and procedures as requested.

· Assist the Director of People and Culture in establishing the annual HR trainings schedule, employee tracking, and on-going sourcing of potential training resources.

· Manage all DOT driver qualifications, requirements and compliance; stay up to date on DOT and FMCSA regulations and requirements.

· Create calendar reminders for new hire 30-day check-ins, 90-day reviews, and other HR time bound items.

· Manage documentation and maintenance of HR SOPs, processes, and checklists.

· Update and maintain both files for employee documents, benefits, leave, and medical information. Manage document retention and implementation of retention policies.

· Acts as a regular back-up and support for the front desk receptionist; included in rotation for lunch coverage

Working Conditions: This position will be performed primarily in an office setting with occasional exposure to the warehouse and outdoors.

Physical Demands: Primary functions require sufficient physical ability and mobility to work in an office setting. This includes: the ability to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; Exerting up to 25 pounds of force occasionally and/or a negligible amount of force to move objects.

Functions also require the ability to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard, and to verbally communicate to exchange information.

Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus; close visual acuity to perform activities including but not limited to preparing and analyzing data and figures, transcribing, viewing a computer terminal, extensive reading.

Employees in the People and Culture department may occasionally be asked to provide cross-departmental support, which could involve exposure to less favorable conditions and handling moderately heavy objects or equipment.[AT3]

Travel : Minimal, but routine travel may be required within the service area.

Schedule: Typical schedule is M – F daytime hours with occasional need for evening or weekend needs.

In instances of a federal, state or locally declared emergency or order, MANNA FoodBank is typically considered an essential service and emergency responder; all employees may be called upon to perform regular or emergent duties.

Compensation and Benefits: The starting pay for the People and Culture Generalist is in the $61,626 - $65,050 hiring range annually. MANNA is also thrilled to offer a competitive and comprehensive benefits package:

Requirements:

Qualifications:

  • Education/Experience: A range of education, training, certifications and experience will be considered for this position. This range could include but is not limited to:
  • High School diploma or equivalent with specialized Human Resources training and/or certification, such as PHR, SPHR, or SHRM certification, and over five years of relevant work experience
  • Associate degree and over five years of relevant work experience
  • Four-year degree and a minimum of 2-3 years of relevant work experience
  • SHRM and/or HRCI Certification a plus
  • Experience with Paylocity HRIS system is a plus
  • Demonstrated high level of proficiency in Microsoft Office Suite
  • Exceptional written and oral communication skills; close attention to detail and commitment to producing excellent work
  • Communicates effectively with a diverse group of constituencies, including staff, volunteers and the public
  • Excellent time-management skills; ability to juggle multiple tasks and adapt to ever-changing priorities and unanticipated daily needs
  • Always maintains a professional appearance and represents MANNA in diverse settings
