Job Description:

The Manager, Medical Meetings and Congresses is responsible for the strategic planning and execution of medical meetings, congresses, and related events across therapeutic areas. This role ensures that all congress engagements are aligned with brand strategy and deliver a consistent, high-quality brand experience.

The incumbent translates brand positioning and messaging priorities into compelling, compliant, and engaging congress materials, exhibits, and customer interactions. This role serves as a key partner to Marketing, Medical, and Sales to ensure strong pull-through of brand messaging before, during, and after meetings, maximizing the impact of congress investments.

The base compensation range for this role is $90-105K. Base Compensation is influenced by many factors including, but not limited to: time in the role, previous experience, skills, knowledge, performance, work requirements, internal equity, and business / economic conditions.

Summary of Key Responsibilities

Medical Meetings and Congress Strategy
  • Responsible for managing all aspects of domestic and international medical meetings and congress planning, including development and execution in line with strategic brand objectives across therapeutic areas.
  • Develops convention strategy and plans for key medical meetings, ensuring alignment with brand priorities and customer engagement goals.
  • Identifies opportunities to enhance organizational presence and optimize customer engagement at congresses.
  • Owns budgets related to medical meetings and events, ensuring accurate tracking, forecasting, and reporting.
  • Manages congress budgets, contracting, and reconciliation to ensure efficient use of resources.
Brand Experience and Messaging
  • Translates brand strategy and messaging priorities into engaging and compliant exhibit booths, displays, and congress materials.
  • Ensures consistent communication of brand positioning across all congress touchpoints, including pre-congress planning, on-site engagement, and post-congress follow-up.
  • Leads the development of materials that enable the field force and headquarters teams to deliver effective and consistent brand messaging at congresses.
  • Designs exhibit booths and spaces that are flexible, adaptable, and scalable, ensuring a cohesive brand experience across a variety of event formats, including product-specific and portfolio presentations.
  • Ensures strong pull-through of brand messaging across all congress activities to maximize impact and alignment with brand strategy.
Congress Planning and Execution
  • Leads the planning, coordination, and execution of exhibits and sponsorships for key domestic and international scientific meetings and related events.
  • Conducts pre-congress planning meetings to align stakeholders on objectives, messaging, and execution.
  • Oversees the development and approval of exhibit assets, including shepherding materials through the Material Review Committee process.
  • Manages all aspects of logistics, including vendor coordination, booth execution, materials, and on-site support.
  • Serves as the primary contact for congress execution, including budgeting, contracting, logistics, attendance, and post-congress reviews.
  • Serves as the central point of contact for external partners, medical societies, and internal stakeholders to manage planning, logistics, and execution across functions.
  • Partners with Marketing, Medical, Sales, and matrix teams to ensure alignment on strategy, messaging, and customer engagement.
  • Coordinates with cross-functional partners to optimize organizational presence and key customer interactions at congresses.
Required Qualifications and Skills
  • BA or AS degree
  • Meeting planning certification such as Certified Meeting Professional (CMP), preferred
  • Minimum of 3 years' event management experience. Medical Device / Pharmaceutical industry experience, preferred
  • Excellent verbal, written, and interpersonal skills, including proofreading and editing skills
  • Ability to professionally interface with senior-level executives, healthcare providers, staff, external partners, and consultants
  • Ability to manage multiple and sometimes conflicting priorities in a fast-paced and demanding environment.
  • Ability to take initiative, prioritize, and execute tasks and special projects with minimal direction or supervision, maintaining a high level of confidentiality, integrity, and discretion
  • Demonstrated ability to bring innovation and creativity to daily activities
  • Proficient in MS Office Suite, Adobe Pro, and Concur
  • Travel Requirements: Approximately 30%
