Job Summary
The Partners in Tourism Coordinator will support the activities that drive success for nearly 600 Partners in Tourism businesses. This position interfaces with a variety of hospitality business sectors, community, and industry organizations. . The program manages hospitality relationships representing attractions, restaurants, nightlife, hoteliers, and service providers who represent Charlotte’s fourth largest industry and employs 1 in 9 residents. The Partners in Tourism Coordinator requires an individual who is highly organized, self-motivated and meets deadlines. He/She/They is directly responsible for data entry, support of monthly partner events and related follow up activities and partner interaction. Other duties include administrative support specific to the Partnership team.
Job Responsibilities
A. Partnership
- Works with Partnership team to foster strategic relationships with all CRVA Partners to make sure they understand and see the ROI of the program.
- Approaches partners in a service-oriented manner to understand their needs, assists with making connections and works with them to solve problems.
- Communicates to all partners via personal visits, phone calls and emails to ensure engagement and understanding of benefits and opportunities through their CRVA Partnership.
- Onboards all new partners through processing agreement forms, adding contacts and general information, creating web listings, handling payment, and drafting welcome email.
- Maintains a high level of accuracy and detail in preparation of documents and correspondence.
- Exhibits a professional and engaging demeanor in face-to-face, email and phone conversations.
- Supports troubleshooting efforts as it relates to partner inquiries, extranet access and website listing issues.
- Sources website listing inquires to managers to jumpstart program discussion.
- Strengthen partner relationships by representing CRVA at partner, association, and industry networking events.
- Accurately updates and maintains internal Customer Relationship Management (CRM) databases, including traces, site visits, partner interactions, and prospective partner leads.
- Compiles department reports and develops relevant searches from our internal CRM database for internal staff needs.
- Complies monthly partner newsletter.
- Leads and implements the department content calendar which supports partner relation initiatives through appropriate communication channels that include: the extranet and LinkedIn.
- Supports Director in fulfillment of Hospitality Champion partnerships by tracking and activating proposal terms.
- Serves as key internal resource for partner list requests enabling CRVA staff to meet the needs of their respective clients.
- Effectively tracks and reports partner exposure tracking activity via social media platforms.
- Compile monthly Convention & Event Alert to distribute to partners and Board of Directors via the Executive Leadership Team through collaboration with the Destination Servies team.
- Supports Director in compiling Partnership section of the bi-monthly Board Report.
- Attends appropriate business events and community functions assigned by Director.
- Actively engages in planning logistics for the annual Partners in Tourism Awards which includes leading Podio project management and timeline.
- Assists with other duties as assigned.
Other
- Provides support to Manager during event site visits and execution.
- Department lead for all long-term projects submitted to Marketing team in Podio including Partners in Tourism Awards.
- Department lead for all partner email communications and maintaining an updated email database.
- Department lead for partner-related listing updates on charlottesgotalot.com and charlottemeetings.com
- Department lead for audit tracking of Ripe listings.

Knowledge and Skill Requirements
- Ability to read, analyze, and interpret business reports to make informed decisions.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from various levels of management.
- Ability to solve practical problems and deal with a variety of concrete variables in various situations.
- To perform this job successfully, an individual should have knowledge of Microsoft Office Suite.
- Ability to anticipate customer needs, builds positive relationships with customers and vendors, goes the extra mile to satisfy and exceed customer needs, treats all customers and vendors with highest degree of respect and courtesy, and delivers exceptional service to both internal and external customers.
Education and Experience
- Associate's or Bachelor’s degree is preferred.
- One (1) year of experience in related field preferred or an equivalent combination of education and work experience.
- Excellent written and verbal skills.
- High level of proficiency in Microsoft Office (Excel, Word and PowerPoint) and Outlook is a must.
- Experience in Simpleview CRM is preferred.
Physical Demands
- The employee must regularly lift and /or move up to 25 pounds.
- Specific vision abilities required by this job include close vision. While performing the duties of this job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is frequently required to stand and walk.
- Must have a valid driver’s license for site inspections, partner meetings and events.
