GENERAL STATEMENT OF DUTIES
Performs supervisory duties in planning, organizing, and directing the activities of a large group of office management support personnel in one or more work units.
DISTINGUISHING FEATURES OF THE CLASS
An employee in this class performs supervisory duties over one or more groups of office management support personnel. Duties include assigning work, determining and balancing workload, and monitoring the quality and quantity of work. Duties may also include participation in the interview and selection process, training and orientating new employees, setting performance standards, and conducting periodic performance reviews. Participates in short and long-range planning, coordinates work with other units, and recommends budget and staffing needs. Work is performed under general supervision and evaluated through conferences, reports, and periodic performance reviews.
Examples of DutiesDUTIES AND RESPONSIBILITIES Essential Duties and Tasks
- Plans, assigns, and directs work of subordinate office management support personnel.
- May supervise subordinate supervisors.
- Develops or assists in the development of work procedures that are followed by employees.
- Sets deadlines and schedules work for completion.
- Monitors quality and quantity of work performed.
- Conducts training and orientation of new employees and provides periodic in-service training for all staff in the unit(s).
- Conducts performance evaluations and makes recommendations for employees promotions and/or salary changes.
- Composes letters, memos, summaries, and interim or final reports of unit activities.
- Assists in the setting of priorities.
- Attends regularly scheduled supervisory staff meetings for the purpose of sharing information, discussing problems and solutions, changes in policies and procedures, etc.
- Conducts unit staff meetings as needed.
RECRUITMENT STANDARDS Knowledge, Skills and Abilities
- Ability to plan, organize, and review work flow and procedures.
- Ability to train and manage a small group of office support personnel.
- Ability to exercise judgment and discretion in analyzing and resolving employee problems or complaints.
- Ability to answer inquiries and coordinate a variety of resources in accomplishing the goals of the work unit.
- Ability to maintain established work standards and to evaluate employee performance.
- Ability to resolve problem situations and to be resourceful in collecting and presenting program information.
- Thorough knowledge of office practices and procedures.
Minimum Qualifications
High School graduation or equivalent and three years of office management support experience, one of which was at a supervisory level.
- A motor vehicle record (MVR), background & credit check, and drug screening will be conducted on candidates considered for this position.
May Require Driving This position may require driving for this position whether driving a County owned or personal vehicle to conduct county business such as but not limited to attending conferences, meetings, or any other county related functions. Motor Vehicle Reports may be verified for valid driver's license and that the driving record is compatible with the county's driving criteria. If a personal vehicle is operated for county business proper insurance is maintained as per Guilford County's vehicle use policy.
