Position Summary:

The Executive Assistant provides services essential to the mission of the organization and the day to day operations of the Executive Suite. This individual provide vital support to various departments to ensure the activities of the Executive Suite maintain positive and professional relations with both internal and external partners, relieving daily routine to allow for big picture development and growth.

Responsibilities:

* Managing day to day administrative affairs of the Executive Suite including Office of the Executive, Compliance, HR and Operations.

* Providing assistance in processing of accounts receivable and payable including billing, payroll, timekeeping, purchasing and ordering.

* Administrative support regarding accurate documentation of minutes, planning, efficient flow of information and communications.

* Relieving routine data entry and details for Executive Suite including audits of Compliance, Payroll, Human Resource and Operations.

* Responding effectively to inquiries and routing communications to proper channels to ensure issues are addressed quickly.

* Maintaining knowledge of scope for each department regarding policies and procedures to provide appropriate support when needed.

* Drafting correspondence with professionalism and preparing documents and presentations when needed.

* Review, proofread and format documents and correspondence for accuracy and completeness, including consistency with policy.

* Maintain confidentiality and ensure sensitive materials are handled in the appropriate manner.

* Work with a sense of urgency as well as, autonomy to work independently yet receive feedback and adjust to needs quickly.

* Perform special projects as assigned by each department within the Executive Suite to ensure operations are efficient and effective.

Minimum Requirements:

High School Graduate or Equivalent with two additional years of Secondary Education. Required

Associates or Bachelors Degree in Business Administration or Management. Preferred.

Experience in an educational environment. Preferred.

Three to five years of experience may be substituted for required education.

Required Experience:

Demonstrated ability to work with executives and to coordinate a high volume of diverse assignments handling competing priorities and maintain attention to detail.

Proficiency in use of Google Applications and ability to learn organizations databases, content management systems, HRIS and other software as needed.

Meticulous grammar, editing, writing, presentation and communication skills. Must present self and organization with the utmost in professionalism at all times.

Demonstrated ability to maintain confidentiality and good judgement in making independent decisions with a high degree of tact and diplomacy, while practicing reasonable knowledge in seeking assistance when needed.
