Position Summary:

We are seeking a detail-oriented and highly organized Construction Administrative Assistant to support our construction team in day-to-day administrative functions. This role is integral to maintaining efficient office operations and ensuring that project documentation and communication are accurate and up to date. The ideal candidate has experience in a construction or similar field and thrives in a fast-paced environment.

Key Responsibilities:

  • Provide administrative support to project managers, superintendents, and office staff.

  • Prepare, format, and maintain project documentation such as contracts, submittals, RFIs, change orders, and meeting minutes.

  • Track project timelines and deadlines to ensure compliance with schedules.

  • Coordinate communication between subcontractors, vendors, clients, and internal teams.

  • Manage filing systems, ensuring easy access to project records.

  • Assist with processing invoices, purchase orders, and expense reports.

  • Schedule meetings, prepare agendas, and coordinate logistics for job site visits and company events.

  • Maintain office supplies inventory and place orders as needed.

  • Support safety compliance tracking and documentation.

  • Perform general clerical duties, including answering phones, managing mail, and data entry.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.

  • Minimum of 2 years of administrative experience; experience in construction or a related industry is highly desirable.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

  • Strong organizational and time management skills.

  • Excellent written and verbal communication abilities.

  • Ability to multitask, prioritize work, and meet deadlines in a dynamic environment.

  • High attention to detail and problem-solving skills.
