Executive Assistant
We are seeking a highly organized, proactive, and resourceful individual to join our team as an Executive Assistant. This role provides direct support to senior leadership while also ensuring the smooth day-to-day operations of the office. The ideal candidate thrives in a fast-paced environment, can balance multiple priorities, and demonstrates exceptional communication and problem-solving skills.
Key Responsibilities
Executive Support
- Provide high-level administrative support to executives, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Serve as a gatekeeper and liaison for executives, ensuring effective communication across the organization.
- Assist with meeting preparation, including agendas, materials, and minutes.
- Handle confidential information with discretion and professionalism.
Office Management
- Oversee daily office operations to maintain a productive and welcoming work environment.
- Manage office supplies, equipment, and vendor relationships.
- Coordinate facility needs, including maintenance requests and workspace organization.
- Support onboarding of new employees by setting up workspaces, equipment, and office orientation.
- Ensure compliance with office policies, procedures, and health/safety standards.
Administrative & Team Support
- Manage company records, filing systems, and databases for accuracy and accessibility.
- Assist with event planning, team meetings, and company functions.
- Track budgets, invoices, and expense reports related to office operations.
- Support HR and leadership with employee engagement initiatives and internal communications.
Qualifications
- Proven experience as an Executive Assistant, Office Manager, or similar role.
- Strong organizational, time-management, and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.
- Ability to handle sensitive and confidential information with integrity.
- Self-starter who can anticipate needs and take initiative.
Preferred Skills
- Experience in vendor management and basic contract administration.
- Knowledge of bookkeeping or budget tracking.
- Event planning or project coordination experience.
- Tech-savvy with the ability to learn and implement new tools or systems quickly.
