Life Enrichment Administrative Coordinator

Job Summary:
The Life Enrichment Administrative Coordinator enhances residents' quality of life through collaboration and assisting with planning and implementing quality programs focused on 4 components of holistic living holistic (intellectual, physical, social, and spiritual). Incorporates activities that encourage residents to make decisions, participate in planning and assume a degree of responsibility and independence.
Essential Job Functions:
- Prepares for and ensures activities are started on time. Programs include: daily scheduled activities, 1:1 visits, outings, evening & weekend programs, and special events. Manages cancellations and rescheduling.
- Maintains appropriate documentation regarding resident attendance and participation in scheduled activities. All documentation must be recorded weekly/monthly based on programs.
- Communicates upcoming events and schedule changes by posting monthly calendars, daily schedules, flyers, and posting event and descriptor on the resident portal. Utilizes several modes of communication (email, phone, and meetings) to plan, schedule and confirm resident events. Emails Welcome Center and Concierge desk to notify of visitors. Calls residents to verify and confirm registration, appointments, and outings.
- Writes descriptors to post on the resident portal and speaker/performers bios/introductions.
- Researches and recommends to the Director of Life Enrichment potential events, vendors, speakers, and performers.
- Coordinates golf group by scheduling tee times, making lunch reservations, coordinating transportation, if needed, marketing, and engaging senior leadership to participate.
- Creates all room set-ups and transportation requests for all activities and events. Books set-ups with BEO and diagrams and room reservations for all activities and events using Microsoft Outlook. Verifies room is correctly set-up and tests technology (microphones, computers, etc). Coordinates and schedules transportation for resident events/outings. Actively manages resident registration to ensure required minimum number is met and maximum number is not exceeded.
- Assist in department marketing and promotional needs. Includes taking pictures/videos, designs and creates event agendas and flyers, creates residential portal slides and creative updates to the Life Enrichment information board.
- Maintains accurate event documentation. Creates and processes check requests to pay speakers/performers in a timely manner. Submits invoices to accounts payable, and uploads receipts to a shared folder for easy processing credit card charges.
- Coordinates the resident art gallery. Hangs art for display and takes down art to change out gallery.
- Coordinates internal partners (Atrium Health, PS Salon, and YMCA). Ensures room scheduling and set-ups, confirms appointments with residents, and fields inquiries.
- Updates marquees throughout the community daily. Coordinates with volunteers to distribute mail, calendars, and marquees.
- Maintains volunteer database. Coordinates and directs volunteers to assist with Life Enrichment programming and event needs.
- Assists with uploading pictures, videos, and other forms of streaming for campus needs.
- Rips, schedules, and sets-up streaming for movies.
- Provides computer device support as well as residential portal training.
- Assists with attending off-campus events and introducing speakers/performers, as needed.
- Establishes a compassionate environment by developing and maintaining positive relationships with team members, residents, family members and other guests. Must be able to generate enthusiasm and motivate people.
- Provides for the safety of residents and other associates in assigned areas by implementing proper safety procedures governed by OSHA, and state and federal regulations always. Aids residents within scope of the job duties.
- Attends all LE Team, and community meetings and provides input and ideas into the activity programming. Participates in regulatory company-wide in-service training and completes all required compliance training monthly.

- Performs other duties as assigned.
Required Skills/Abilities:
- Ability to operate in fast-paced environment.
- Proficient with Microsoft 365.
- Strong communication skills, verbal and written.
- Possess a high level of creativity both in the framework of an existing program and new programs that arise.
- Capable of responding to the needs of residents in a timely manner.
- Data collection and management
- Capable of implementing events through all stages.
- Possess a strong sense of urgency and good work ethic.
- Ability to have positive interactions and relationships.
- Must be available to work various hours, including every other weekend.
Education and Experience:
- High school diploma or GED required.
- Prior senior living Life Enrichment programming preferred.
- Previous office experience required.
- Experience with Wellzesta preferred.
Physical Requirements:
- Lift, pull, and/or push up to 50 pounds.
- Carry up to 20 pounds.
- Sensory demands include vision correctable to 20/20, touch using fine finger movement/dexterity, smell, and hear correctable to normal range.
Work Environment :
Works throughout a clean, well-lit, and environmentally controlled community. Possible work hazards include bloodborne pathogens, moving parts, and strong offensive odors.
