- Answer phone calls, respond to inquiries, and direct calls appropriately
- Schedule, reschedule, or cancel appointments
- Maintain and update appointment calendars
- Create and update patient records
- Ensure accurate entry of personal, medical, and insurance information
- Handle patient files in compliance with privacy laws like HIPAA (or equivalent in your country)
- Verify insurance details and eligibility
- Process co-pays and other payments
- Manage emails, mail, and office correspondence
- Keep the reception area clean and organized
- Complete record releases and record requests
- Send referrals
- Communicate patient needs to doctors, nurses, or other staff
- Handle sensitive or urgent situations calmly and professionally
- Strong communication and interpersonal skills
- Organization and multitasking ability
- Basic knowledge of medical terminology
- Familiarity with electronic health record (EHR) systems
- Attention to detail and confidentiality
