Part Time Administrative Assistant II Bilingual (Eye Clinic)
General Function
Performs a variety of standard to moderately complex administrative and secretarial tasks which may include greeting and receiving clinic patients and calls, monitoring inventory, maintaining spreadsheets, typing, filing and entering information into computer. An essential duty of this role is to be a Spanish translator for our Spanish speaking clinic patients. Ability to work Wednesdays is vital.
Duties and Responsibilities
- Answers phone and screen patients including many who are Spanish speakers.
- Provides detailed information regarding services, explain procedures, and may provide advice.
- Refers calls to appropriate person if more information is needed, takes messages, responds to the more difficult inquiries and requests, and serves as information resource to staff, faculty and students.
- Assists in scheduling appointments by maintaining spreadsheets, monitoring email and phone appointment requests.
- Tracks inventory and supplies; may prepare requisitions and order supplies.
- Available on Wednesdays to check in patients and translate between the patient and clinic personnel.
- Receives eye glasses and contacts patients for pick up.
- Reschedules appointments as needed and ensures proper referrals for eye clinic patients.
- Ensures all information is current and up to date.
- Other duties as assigned.
Minimum Requirements and Preferred Qualifications
- High School diploma or GED and vocational or business training beyond high school. 2 years of office experience.
- Must speak Spanish and be able to translate for eye clinic Spanish speaking patients.

Work Days: Monday - Friday Knowledge, Skills, Abilities, and Worker Characteristics:
- Knowledge of healthcare terms is helpful, interpreter experience preferred
- Strong interpersonal skills and work well with others (patients, students, and healthcare workers)
- Ability to maintain records accurately and be able to meet deadlines consistently
- Intermediate skills with MS Office products
