We are a busy, client-centered divorce and family law firm seeking an experienced, highly organized Office Manager to oversee daily operations, client service, and financial administration.
This is not an entry-level administrative role. We are seeking a professional who thrives in a fast-paced legal environment, exercises sound judgment, and takes ownership of office systems, financial accuracy, and client experience.
The Office Manager is the operational backbone of the firm. You will manage client intake, oversee billing and trust accounting, coordinate banking and bookkeeping functions, and ensure that both clients and staff experience a well-run, responsive office.
This role requires emotional intelligence, financial competence, discretion, and strong boundaries. Our clients are often navigating highly emotional circumstances — professionalism and calm leadership are essential.
Key Responsibilities
Client Experience & Office Operations
- Oversee client intake process from first contact through onboarding
- Serve as primary point of contact for client service issues
- Maintain organized case files and administrative systems
- Manage scheduling, workflow coordination, and internal communications
- Ensure confidentiality and ethical compliance in all interactions
Financial & Accounting Oversight
- Manage invoicing, billing, and payment processing
- Oversee trust accounting compliance
- Reconcile accounts and monitor receivables
- Coordinate with CPA/bookkeeper as needed
- Maintain accurate financial records and reporting
- Handle banking transactions and vendor payments
Administrative Leadership
- Improve and maintain office systems and procedures
- Track deadlines and ensure operational efficiency
- Identify and resolve problems proactively
- Support attorney productivity by reducing administrative burden
Required Qualifications
- Minimum 3–5 years of office management experience (law firm, medical office, or banking preferred)
- Strong accounting, bookkeeping, or banking background
- Experience with billing systems and account reconciliation
- High proficiency in Microsoft Office and practice management software
- Exceptional organizational skills and attention to detail
- Professional written and verbal communication skills
- Ability to handle confidential and sensitive information
