Client Concierge - Administrative Professional

We’re looking for a Client Concierge/Administrative Assistant who is ready to jump in, take initiative, and create an outstanding first impression for everyone who contacts or visits our office. As the Client Concierge, you will build relationships with people who contact our firm looking for help. Success in this position requires that you display a combination of empathy, experience, and skill. You will play an integral role in creating memorable experiences for clients and everyone else who visits our firm. As the Administrative Assistant, you will work directly with the Owner to maintain his calendar/email and call professional contacts and partners to schedule "get to know you" and "keep in touch" meetings. Responsibilities: We work with people experiencing a combination of stress, anxiety, sadness, confusion, and sometimes anger. We are looking for someone who can dig in to find how to help people (even when they seem unlovable). If this sounds like you, we look forward to meeting you.There will be training on the types of legal matters we handle, how we track our leads, and how to use our systems and applications. However, we need someone already experienced when it comes to problem-solving calendar conflicts, relationship management, email triage, greeting clients, answering phones, preparing mailings, scanning, filing, data entry, and scheduling appointments. Qualifications:
- Customer service experience is required.
- You are highly organized and self-directed, capable of managing and prioritizing tasks with little supervision.
- You have excellent phone and interpersonal communication skills, and you can represent the Owner and our firm with professionalism and warmth.
- You understand the importance of relationship management and follow through diligently on scheduling, confirming, and rescheduling as needed.
- You demonstrate good judgment in handling sensitive client matters and day-to-day decisions.
- You are punctual and understand that being on time is a reflection of respect for others' time and trust.
- You are naturally happy and bring a sense of warmth and positivity to your interactions with clients and team members.
- We will ask you to demonstrate a penchant for accuracy and attention to detail, which are required to avoid mistakes that can cost clients (and us) dearly.
