Cash Applications / Accounts Receivable Specialist

Kooks Custom Headers is searching for a high energy Cash Applications / Account Receivable Specialist that is ready to make an impact! The successful candidate will play a crucial role in processing cash applications, managing customer accounts, and ensuring compliance with established controls and policies.

Essential Functions

• Accurately and efficiently handle cash applications using established procedures.
• Post all cash receipts, discounts, allowances, price difference, returns and other charge backs to customer accounts timely and accurately.
• Review all invoices for proper discounts and review receivables for collections.
• Maintain up-to-date billing system and allocate payments properly.
• Maintain thorough, well organized accounts receivable customer files.
• Investigate and resolve any discrepancies or irregularities in cash applications.
• Engage with customers, credit department, and distribution centers for clarifications on payment details as necessary.
• Monitor customer account details for non-payments, delayed payments and other irregularities.
• Daily cash applications for eCommerce/web sales transactions from platforms like Affirm, PayPal, Auth.net.
• Engage in communication with customers via phone, email, or mail.
• Conduct research to reconcile all cash applications to completion.
• Monitor and manage customer account balances and transactions.
• Adhere to and ensure compliance with controls and policies.
• Handle non-standard transactions and account balances.
• Uphold all company policies, procedures, and accounting guidelines.
• Complete other miscellaneous accounting tasks depending on the immediate needs of the department.
• Perform other duties as assigned by the manager.

Education and Experience

• Must have working knowledge of GAAP
• Prefer Associate's degree or at least 3 years of cash applications experience
• Prior experience in a manufacturing or production environment
• Experience with Shopify, Avalara (Avatax), and Visual ERP systems preferred
• Proficient in Microsoft Excel, including pivot tables, VLOOKUP's, and other advanced functions
• Experience in managing Accounts Receivable (AR) is a must

Physical demands

• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift 15 pounds at times.
• Must be able to access and navigate each department at the organization's facilities.
