Direct Hire, Leave and Accommodation Administrator
Salary: $80k+/range, eligible for 15% Bonus
Fully Onsite Position
The Leave & Accommodation (L&A) Administrator is responsible for the administration of the Company’s Leave of Absence and Accommodation programs. The role will be the primary point of contact for employees’ inquiries for all leave, disability, ADA and worker’s comp claim inquiries. Serves as the subject matter expert for internal LOA policies.
Responsibilities
1. Leave and Accommodation Review, Determination and Support
- Assess individual requests for LOA and/or accommodation, and determine appropriate classifications and approvals
- Establish FMLA, PPLA, ADA, PLA, and other LOA claims and track them in accordance with internal workflow processes and procedures
- Documents files and/or systems in a clear and concise manner
- Collaborates with HRIS/Benefits Analysts to support LOA administration
- Ensures LOAs are actively tracked and properly documented
- Ensure coordination of all leave types ensuring concurrent LOAs are run according to federal and state laws as well as Company guidelines
- Partner with EHS and HRBP’s to assess feasibility of accommodation requests
- Partner with HRBP’s and operations management to ensure that employees submit timely responses for requests related to LOA, ADA and other leave-related documentation
2. Worker’s Compensation Claims Reporting
- Coordinate and collaborate with EHS team on WC LOA
- Review internal WC claim reports and input information into the claims reporting portal
- Update WC claims information in an accurate and timely manner
3. Return to Work
- Ensure proper documentation regarding return to work (RTW) is obtained prior to the employee returning to work
- In collaboration with department leaders, HRBP’s and the EHS Department, define return to work plan for each case
4. Communication
- Communicate effectively with employees before, during and after their LOA.
- Communicate decisions and ongoing expectations with employees, both verbally and written, to update them on the status of their leave requests and communicate any additional requirements as determined in partnership with the manager
- Inform assigned HR Business Partner and Manager as necessary to ensure understanding of the time the employee may be absent from work and when they are anticipated to return to work
- Partner with assigned HR Business Partners and employee managers, as necessary to inform on LOA and Reasonable Accommodation matters regarding their employees
- Provide reports, data and information regarding LOA, ADA and worker’s comp claim status to stakeholders as appropriate
- Communicate, in writing, the parameters of the employee return-to-work plan including the employee, manager and assigned HRBP
Required Knowledge, Skills and Abilities
- Bachelor’s degree in Human Resources, Business Administration, or related field
- 5+ years of experience in benefits and leave management
- Strong knowledge of FMLA, ADA, PWFA, HIPPA, WC, and DOL regulations
- Proven ability to organize work, data and processes
- Outstanding time management skills
- Project management capabilities
- Exceptional professional, tactful, and clear written and verbal communication skills
- Strong problem-solving skills
- Ability to run system reports, analyze and assess data to make informed decisions
- Strong organizational and collaboration abilities
- Outstanding customer service skills
- Ability to work in a fast-paced, deadline-driven environment
- Advanced in Microsoft Office Suite, including MS Excel, and HRIS
Preferred Knowledge, Skills and Abilities
- Master’s degree in related field
- Experience with and expertise in Workday HCM including the ability to run reports and identify potential issues or concerns
- Certification in Benefits, SPHR, PHR, SHRM-CP, or related
- In addition to English, fluency in Spanish, Hindi and/or Farsi
Physical Requirements
- Finger dexterity for typing, drawing, presenting and keying in information
- Ability to sit and/or stand for extended periods of time
- Ability to work full-time onsite at our main office
- Occasional travel to RTP production facilities to collaborate with managers
- Extended work using a computer and exposure to a computer screen
- Light work that includes moving objects up to 25 pounds occasionally
- Ability to hear and speak clearly to ensure comprehensive communication with others.
- Ability to safely navigate the production floor, adhering to all safety requirements.
Environmental Conditions
- Primary work is performed in an office setting
- May be exposed to elevated noise levels in the production areas
- Working with and in large groups
