About the Role:
We are seeking an organized, proactive, and resourceful Office Manager to oversee daily operations, streamline administrative processes, and ensure the office runs smoothly. This role requires a strong multitasker who thrives in a dynamic environment, communicates effectively, and takes ownership of responsibilities with minimal supervision.
Key Responsibilities
Administrative & Operational Management
- Maintain and organize office records, files, and documentation (both physical and digital).
- Monitor and replenish office supplies, equipment, and vendor relationships.
- Answer and route incoming calls, providing excellent & friendly service to clients, vendors, and employees.
- Assist with employee travel arrangements via a 3rd party booking platform.
- Coordinate with IT to set up and configure new employee phones and computers.
Finance & Reporting
- Assist the accounting team by processing incoming and outgoing mail, scanning and routing mail to the appropriate parties internally.
- Assist the accounting team in processing vendor payments
- Support payroll and benefits administration in collaboration with HR and accounting.
HR & Staff Support
- Coordinate employee onboarding and maintain personnel records.
- Assist with training schedules, policy updates, and internal communications.
- Foster a positive workplace culture by organizing team activities and events.
Compliance & Safety
- Maintain confidentiality of sensitive company and employee information.
Qualifications & Skills:
Required:
- Proven experience as an Office Manager, Administrative Manager, or similar role.
- Strong organizational, time-management, and problem-solving skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent written and verbal communication skills.
Preferred:
- Background in HR processes and compliance.
- Ability to adapt to changing priorities and work under pressure.
