The Administrative Assistant for the Construction Department at Bateman Civil Survey Company provides essential administrative and clerical support to ensure the smooth operation of daily department activities. This role supports project managers, field staff, and leadership by handling documentation, scheduling, communication, and recordkeeping. The Administrative Assistant will play a key role in maintaining organized project files, coordinating meetings, assisting with reports, and ensuring timely follow-up on department tasks. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities in a fast-paced construction environment.
Responsibilities include but not limited to:
Communication & Client Support
- Answer and direct incoming phone calls; respond to inquiries from contractors, clients, and team members.
- Acknowledge receipt of requests by email and maintain professional communication with clients and contractors.
- Deliver plats to clients, municipalities, or project sites as needed.
Project Tracking & Task Management
- Monitor department emails, create and assign to-do items, and ensure timely follow-up.
- Add plan sets and construction staking requests into Basecamp for team tracking and completion.
- Utilize Unanet to add project codes and coordinate updates with Basecamp tasks.
- Manage Basecamp to-do lists, ensuring tasks are entered, tracked, and completed on schedule.
- Maintain Zoho records and ensure project-related information is current and accurate.
Document & Record Management
- Track and follow up on submittals, ensuring timely responses and documentation.
- Download, file, and forward recorded plats to clients while maintaining accurate folder structures.
- Submit check requests for submittals and maintain accurate records of requests and payments.
- Assist with recording plats at local municipality offices as needed.
General Administrative Support
- Provide overall administrative support to project managers and field staff to ensure smooth departmental operations.
Requirements
- High school diploma or equivalent required; associate’s degree or relevant coursework preferred.
- 1–2 years of administrative or office support experience (construction or related industry experience a plus).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy in recordkeeping and documentation.
- Ability to maintain confidentiality and handle sensitive information.
- Professional, reliable, and able to work both independently and as part of a team.
- Handle multiple tasks and deadlines in a fast-paced construction environment.
- Build and maintain positive working relationships with staff, clients, and vendors.
- Project Management software experience is not required, but a plus.

Pay:
- Minimum $20 per hour depending upon experience
