This is a seconded position, meaning the selected candidate will be employed by ITAC but work full-time on assignment with one of our clients. While day-to-day responsibilities will be managed on-site with the client, ITAC provides ongoing support, resources, and benefits as your employer.

Objective

We are seeking an experienced and dynamic Technical Assistant to join our team. This role is pivotal in supporting the Project Director and project leadership personnel in ensuring the smooth execution of various technical and administrative tasks. The ideal candidate will be a proactive, multi-skilled professional with a strong ability to work autonomously and interact effectively with diverse teams across the organization.

Responsibilities

  • Meeting Coordination: Schedule and organize meetings, ensuring all logistical details are managed efficiently.
  • Action Follow-Up: Track and follow up on action items to ensure timely completion.
  • Meeting Documentation: Take detailed notes and create summaries or action tracker after meetings, ensuring accurate and comprehensive records.
  • Schedule Management: Understand and use project schedules, to anticipate the mayor activities, and verify progress of some of them.
  • Technical Documentation: Help with review of technical documents, provide insightful comments, and ensure compliance with project standards. Support document control and retention activities.
  • Executive Presentations: Develop and deliver high-quality executive presentations that effectively communicate project progress and outcomes.
  • Software Management: Utilize SAP and Microsoft Project, those in addition from the basic platform of Microsoft office.
  • Other administrative duties:
    • Support travel planning for project personnel to different locations and help coordinate schedules for site visits.
    • Coordinate site maintenance activities as required.
    • Support timekeeping activities for project personnel.
    • Support purchase requisition process as required.

Requirements

  • Experience: Minimum of 5 years of experience in a similar role, preferably within the mining or manufacturing industry.
  • Technical Skills: Proficiency in SAP and Microsoft Project is essential.
  • Autonomy: Demonstrated ability to work independently and manage multiple tasks with minimal supervision.
  • Interpersonal Skills: Excellent communication and interpersonal skills, with a strong disposition to collaborate with various teams.
  • Energy and Multitasking: High energy levels and the ability to handle multiple tasks efficiently.
  • Project management: Profit in the process of FEL Project Management.
  • Certification: Highly decided PMP Certification
  • Education: Bachelor’s degree in a related field is preferred.
