Position: Accounting Administrator for Fire Protection Company.
Location: Pink Hill, NC (401 N Kinston Blvd, Suite B) – Full-time, on-site.
Salary: Competitive, based on experience (starting at $40,000–$50,000 annually, plus benefits including health insurance and paid time off).
Reports to: Operations Manager.
We're seeking a detail-oriented and organized Administrative Coordinator to manage our day-to-day office operations, with a focus on financial management, compliance, and administrative support. This role is crucial for keeping our business running smoothly as we grow our services in fire protection and hood cleaning.
Key Responsibilities:
- Bookkeeping and Financial Management: Maintain accurate financial records, including general ledger entries, reconciliations, and financial reporting, using software such as QuickBooks.
- Accounts Payable and Receivable: Handle vendor invoices, payments, client billing, and collections to ensure timely processing of accounts payable and billable transactions.
- Compliance Oversight: Manage regulatory and compliance tasks, including insurance renewals, certificates of insurance (COI), certifications, and other required documentation to meet local fire codes, insurance standards, and business regulations.
- Inventory Management: Track and order supplies, equipment, and inventory for cleaning services, fan repairs, and filter programs, ensuring stock levels support field operations.
- Payroll Processing: Administer payroll for our team, including time tracking, deductions, tax filings, and compliance with labor laws.
- General Administrative Support: Assist with scheduling, customer communications, filing, and other office duties as needed to support our Pink Hill and Raleigh locations.
Qualifications and Requirements:
- Proven experience (4+ years) in administrative roles with bookkeeping, accounts payable/receivable, payroll, or compliance responsibilities.
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook).
- A strong understanding of business compliance, including insurance, certifications, and regulatory requirements, and experience in the service industry (e.g., fire protection or HVAC) are a plus.
- Excellent organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- High school diploma required; associate's degree in business, accounting, or related field preferred.
- Reliable transportation and ability to work on-site in Pink Hill, NC.
- Must pass a background check.
