Preconstruction Coordinator

We’re looking for a Preconstruction Coordinator to support our estimating and preconstruction process. This role plays a key part in keeping project opportunities organized, documentation structured, and timelines visible as work moves through the front end of our projects. This is a high-trust role responsible for owning the administrative and coordination aspects of preconstruction, helping ensure everything behind the scenes is organized, accurate, and ready for execution.

Responsibilities:

  • Maintain the estimating bid calendar and ensure upcoming opportunities and deadlines are clearly organized and visible.
  • Organize and maintain project files, including plans, specifications, photos, and related documentation.
  • Support the preparation and submission of bid packages, including coordinating signatures and notarization.
  • Ensure all required documents and information are collected and complete prior to bid submission.
  • Assist with contacting subcontractors and MBE vendors to gather pricing and support bid requirements.
  • Manage the warranty process by submitting required documentation and maintaining accurate records for tracking.
  • Help maintain structured, consistent processes that support preconstruction and estimating activities.


Qualifications:

  • Experience in an administrative or coordination role with strong organizational and time management skills.
  • Ability to manage multiple deadlines and priorities with consistent follow-through.
  • Strong attention to detail and commitment to accuracy.
  • Proficiency in Microsoft Office and Google Workspace tools.
  • Experience with Dataforma or similar systems is a plus.
  • Construction or related industry experience is helpful, but not required.
  • Approximately 2-4+ years of relevant experience, with the ability to take ownership of responsibilities and grow within the role.
