Immigration Data Supervisor
Our Raleigh, NC, office has the opportunity for a Data Supervisor to join our expanding practice! The Data Supervisor oversees the Data Clerks and Data Coordinators. The Data Supervisor manages general reporting for internal and client needs, processes USCIS notices and documents, tracks and reports on hot dates, and establishes work procedures and standards to improve efficiency and effectiveness of assigned operations. The Data Supervisor is responsible for ensuring compliance with established Raleigh Immigration standards and reviewing and evaluating the work and performance of subordinates. The Data Supervisor also interviews potential employees, contributes to annual reviews, and oversees most day-to-day operations of each team. The Data Supervisor will be familiar with a range of field concepts, practices, and procedures and will rely on experience and judgment to plan and achieve goals. A wide degree of creativity and latitude is expected. The Data Supervisor reports to the Director of Immigration Practice Operations and the Office Administrator.
Essential Functions:• Establish and publish work procedures and policies for each data team.
• Generate, maintain, and document key result areas (KRAs) for each data team position.
• Provide regular updates on teams’ progress, status of current work, challenges encountered, and potential solutions.
• Observe and evaluate team members' work product, including non-tangibles such as attitude, professionalism, and initiative.
• Help train new team members in their skillsets, tasks, and responsibilities.
• Interview candidates for team positions.
• Execute system-defined and user-defined reports from INSZoom/VisaTrax through graphic user interfaces (GUI) and internal
reporting tools.
• Produce Excel reports using firm-provided tools and data from INSZoom/VisaTrax for internal consumption.
• Explore and analyze data using Visualization Software such as Power BI and Tableau.
• Perform quality control checks on cases and file information.
• Troubleshoot issues across digital and physical records and systems, apply an entrepreneurial approach to problem solving consistent with the firm’s and practice’s mode of operations, and communicate updates to appropriate audiences.
• Liaise extensively with the Director and the Office Administrator to determine and enforce best practices for supervised teams.
• Ability to work well under pressure, with a professional demeanor.
• Excellent organizational skills, with the ability to organize, manage, prioritize, and handle numerous projects/tasks.
• Flexibility to work additional hours when necessary to reach Firm objectives.
• Attendance/Punctuality - ability to arrive at work consistently and on time
• Strong attention to detail.
- Bachelor’s degree and 3+ years of office work with some management experience required.
- Familiarity with business reporting, analytics, or metrics is highly preferred.
- Must be highly proficient in, but not limited to, Microsoft Excel, Word, and Outlook.
- Must be able to achieve basic proficiency in INSZoom/VisaTrax and DMS within a short (1 week) training period. High proficiency in INSZoom/VisaTrax will be required within a reasonable timeframe.
- Experience with visualization software, including Power BI and Tableau.
- Must be able to operate a multi-line phone, copier, and scanner.
- Compile consistent, accurate, and insightful metrics on KRAs for each team, and perform regular quality control checks.
