Patient Concierge/Front Desk Receptionist

Job Overview:We are seeking a highly motivated and professional Front Desk Receptionist to join our esteemed high-end facial plastic surgery office. As the first point of contact for our valued patients, you will play a crucial role in creating a warm and welcoming environment. In addition to providing exceptional customer service, you will have the opportunity to continue your professional growth in a supportive and enjoyable working environment. We do not have a manager at our office because we believe everyone should be able to do their job without oversight.
Responsibilities:
- Greet and welcome patients, visitors, and vendors with a friendly and professional demeanor.
- Answer phone calls, respond to inquiries, and provide accurate information about our services, scheduling, and procedures.
- Schedule appointments efficiently, ensuring that patient preferences and availability are taken into consideration.
- Maintain patient records and ensure that all necessary paperwork is completed accurately and in a timely manner.
- Collaborate with the medical staff to ensure smooth patient flow and efficient office operations.
- Manage incoming and outgoing correspondence, including mail, email, and faxes.
- Assist patients with completing necessary forms and documents, ensuring their understanding and compliance.
- Maintain the cleanliness and organization of the front desk area, waiting room, and other common areas.
- Stay up to date with industry trends, procedures, and best practices to provide accurate and helpful information to patients.
- Participate in professional development opportunities, such as workshops or conferences, to enhance your skills and knowledge.
- Collaborate with other staff members to ensure a positive and enjoyable working environment.
- Contribute to maintaining patient confidentiality and compliance with privacy regulations.
- Handle patient concerns or complaints in a professional and empathetic manner, escalating issues to the appropriate parties when necessary.
Qualifications:
- High school diploma or equivalent; additional education or certification in healthcare administration or customer service is a plus.
- Proven experience as a front desk receptionist or in a customer service role, preferably in a medical, aesthetic practice or food and beverage.
- Exceptional customer service skills, with the ability to create a warm and welcoming environment for patients.
- Excellent verbal and written communication skills, with a professional and friendly phone manner.
- Strong organizational and multitasking abilities, with a keen eye for detail.
- Proficiency in using electronic medical records (EMR) systems or computer software applications.
- Ability to handle confidential and sensitive information with discretion.
- Positive attitude, adaptability, and a strong sense of professionalism.
- Flexibility to work during office hours, including evenings and weekends, as needed.
- Familiarity with plastic surgery procedures, medical terminology, and insurance processes is a plus.
