Overview

As a Vantaca Implementation Project Manager, you'll play a pivotal role in our customers' success. You will oversee the entire project lifecycle for the implementation of our software, ensuring that clients transition smoothly and effectively into the Vantaca system. Your role will focus on project management, client relationship management, and ensuring the successful delivery of the implementation project. You will work closely with clients and internal teams but will not be responsible for conducting software training or configuring the software yourself. Instead, you will coordinate these efforts to ensure all aspects of the project are on track and meet client needs.

Accountability Key Initiatives

  • Own client relationship from contract signing to full onboarding.
  • Support client's superusers by facilitating weekly meetings and managing their onboarding tasks.
  • Ensure clients are prepared for a successful Go-Live.

Success Metrics

  • Number of past-due key deliverables
  • Number of past-due tasks
  • Number of implementation support requests solved
  • Providing weekly status updates to your clients
  • Transition clients to Customer Success on time
  • Promoters coming out of onboarding

Requirements

Personality Traits:

Strong Leadership : A natural leader who can motivate both internal teams and customers to stay engaged and on track. They should be capable of resolving conflicts and leading by example.

Adaptability : Implementation projects can evolve rapidly. You need someone who is flexible in their approach and able to adapt quickly when the situation changes.

Customer-Centric : Given the customer-facing nature of the role, a person who is empathetic, patient, and understands the importance of delivering a positive experience to the customer is essential.

Collaborative : This person needs to work across departments and build relationships with diverse teams. The ideal candidate is someone who fosters teamwork and facilitates cross-functional collaboration.

Proactive & Organized : A self-starter who takes ownership of the project from start to finish. They should proactively identify potential bottlenecks and keep things moving smoothly without needing constant oversight.

  • Client Relationship Management: Serve as the primary point of contact for clients throughout the implementation process, ensuring clear communication and a positive client experience.
  • Project Coordination: Develop and manage detailed project plans, timelines, and milestones to ensure successful and timely implementation.
  • Consultative Approach: Evaluate customer needs using a consultative approach to ensure the implementation aligns with their business goals.
  • Internal Collaboration: Coordinate with internal teams, such as support, training, and configuration specialists, to ensure all aspects of the implementation are covered.
  • Issue Resolution: Proactively identify potential issues and implement solutions to keep the project on track. Escalate issues as necessary to ensure timely resolution.
  • Progress Monitoring: Monitor project progress, track deliverables, and ensure all project tasks are completed on time and to the client’s satisfaction.
  • Documentation and Reporting: Maintain accurate project documentation and provide regular updates and reports to clients and internal stakeholders.
  • Continuous Improvement: Gather feedback from clients and internal teams to identify areas for improvement in the implementation process and contribute to process enhancements.

Qualifications

  • You have a Bachelor's degree or equivalent experience in project management, information systems, operations management, supply chain management, business analytics, software support, or other related field.
  • You have at 5+ years of experience or a combination of education and experience as a project manager you're awesome at it.
  • You've got phenomenal communication skills and are an innovative problem-solver.
  • You're highly organized and really good at prioritizing your workload.
  • You are great at interacting with people - customers, clients and coworkers. Your communication with everyone is professional, positive and constructive.
  • You are a terrific public speaker and comfortable with leading meetings.
  • You've got a strong technology background, data management skills and you're advanced with Excel.
  • Ability to travel 1 week per month
