Payroll Responsibilities:
- Coordinate onboarding for new employees and contractors across 40+ clients, including preparation of schedules and follow-up on documentation.
- Process regular payroll and reimbursements; manage multiple payroll schedules tailored to each client.
- Maintain accurate records of PTO and sick leave balances.
- Ensure employee records are complete and up to date.
- Manage client W-9 forms and Certificates of Insurance (COIs).
- Process retirement plan deductions (IRA/401k).
- Coordinate insurance updates and handle annual benefits enrollment.
- Handle end-of-month payroll reporting, quarterly tax filings, and other payroll-related reports.
- Support clients during workers’ compensation audits.
- Assist in updating employee handbooks and personnel policies to ensure compliance with local, state, and federal regulations.
- Perform audits and special payroll-related projects as needed.
- Register for state withholding and unemployment accounts for remote employees.
- Review payroll runs for discrepancies and inconsistencies.
Bookkeeping Responsibilities:
- Record all financial transactions, including income and expenses, using QuickBooks Online.
- Reconcile bank and credit card statements on a monthly basis.
- Maintain accurate general ledger records.
- Track and report sales for sales and use tax filings; manage monthly and quarterly sales tax submissions.
- Record grant and donation income accurately.
- Maintain accounts payable and receivable.
- Support the preparation of monthly and quarterly financial statements.
- Organize and maintain documentation for income and property tax audits.
- Work closely with accountants and team members to resolve discrepancies and prepare accurate end-of-month and end-of-year reports.
- Ensure client books are consistently audit-ready.
Qualifications:
- 5+ years of hands-on experience in payroll and bookkeeping.
- Strong knowledge of bookkeeping principles and payroll compliance requirements.
- Proficient in QuickBooks Online.
- Highly skilled in Microsoft Office, particularly Excel.
- Comfortable working with Google Workspace tools (Calendar, Drive, Sheets, Gmail).
- Experienced with payroll platforms such as Gusto and Intuit Payroll.
