Medical Coordination & Support Specialist (Certified Medical Assistant)

Location: Charlotte Office
Schedule: Monday–Thursday, 10:30 AM – 5:00 PM | Flex Fridays
Compensation: $18 – $20 per hour (Part-Time, W-2)
Reports To: Program Supervisor (QP) & Medical Director (PA/MD)

Position Overview:

The Medical Coordination & Support Specialist serves as the clinical and administrative bridge between medical and behavioral services. Working under the supervision of the Medical Director and Program Supervisor, this Certified Medical Assistant (CMA/RMA/CCMA) manages remote primary care coordination, medication workflows, and patient follow-up while supporting program-wide care coordination and intake needs.

This position ensures seamless communication, compliance, and documentation across the entire integrated care team.

Core Responsibilities:
Medical Coordination & Primary Care Support:

  • Support and assist with remote primary care services in collaboration with the PA/MD.
  • Take detailed notes during provider encounters and input documentation into the EMR.
  • Educate patients about post-care and medication adherence.
  • Monitor patient progress following care or medication adjustments.
  • Manage and maintain accurate electronic medical records (EMR/EHR) for all clients.
  • Process prescriptions and refills at the direction of the provider.
  • Handle patient communication — including phone calls, emails, and messages.
  • Process insurance pre-authorizations and related paperwork.
  • Assist with scheduling, verifying insurance coverage, and completing referral or lab forms.
  • Maintain an organized, compliant virtual and in-office environment.
  • Support front office or intake operations as needed.
  • Respond to patient messages, document conversations, and participate in discharge and callback procedures.
  • Collect patient history, perform screenings and vitals (via partner agencies), and assist providers with virtual follow-up.
  • Manage charting, including documenting vitals, patient progress, and provider instructions.
  • Relay instructions to patients, families, and pharmacies as directed by providers.
  • Obtain lab, imaging, and referral reports and ensure all documentation is filed accurately.
  • Maintain OSHA/HIPAA compliance, ensuring all protocols are followed for privacy and safety.
  • Participate in emergency code responses or exposure reporting, as applicable.

Care Coordination & Program Support:

  • Conduct patient outreach to confirm appointments, track missed visits, and support continuity of care.
  • Perform post-discharge and satisfaction calls to improve engagement and retention.
  • Record Social Determinants of Health (SDOH) and assist clients with resource connections.
  • Float between programs (OPT, Peer Support, CST) for cross-department support.
  • Assist the Intake Coordinator during high referral volume periods.
  • Prepare records and ensure audit readiness across programs.

Qualifications & Requirements:

  • Certified Medical Assistant (CMA, RMA, or CCMA) in good standing.
  • Maintain active certification through:
    • American Association of Medical Assistants (AAMA) , or
    • American Medical Technologists (RMA) , or
    • National Healthcareer Association (CCMA).
  • Minimum one year of experience in a healthcare, medical, or behavioral health setting.
  • Proficient in electronic medical record (EMR) documentation (SimplePractice preferred).
  • Strong communication, organizational, and multitasking skills.
  • Ability to manage sensitive information in compliance with HIPAA.
  • Compassionate and professional demeanor in client interactions.
