Finance and Administrative Assistant
Financial and Administrative Coordinator (Part Time)
The Financial and Administrative Coordinator is a part-time (up to 16 hours per week), hourly, non-exempt position. This role is responsible for managing accounts receivables and payables, providing support to members regarding accounts, assisting with local bookkeeping needs, and providing general administrative support within the synagogue office and facility. In addition, this role will handle duties described below and provide assistance to the Executive Director and, on occasion, to the Rabbi and President. The position reports to the Executive Director.
Essential Duties and Responsibilities:
Bookkeeping:
- Manage deposit activities, including remote check deposit, preparing local bank deposits as needed and posting deposited check files to remote bookkeeping service.
- Manage accounts payable, including coding and submitting accounts payable invoices to remote bookkeeping service and organizing accounts payable on network server.
- Assist the Executive Director with review of member account invoices for monthly mailing to membership households.
- Liaise with Foundation for endowment fund distribution reconciliation.
- Serve on the Budget and Finance Committee and serve as liaison to the Treasurer.
- Assist in developing annual budget with Executive Director, Board, and relevant committees.
Administrative:
- Enter changes of address/phone/email information and any updates to synagogue’s membership system.
- Develop bulk mail paperwork, update postage meter.
- Attend staff meetings.
- Serve as backup front desk receptionist answering the front door, telephone, and assisting members and guests who enter the office.
- Back-up review of print and electronic communications.
- Other duties as assigned.
Qualifications:
- Degree in accounting, finance, and/or related experience in financial and data management.
- Ability to manage multiple projects and work both independently and collaboratively with team members.
- Accuracy and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency with Windows Microsoft 365 Suite, including Excel and QuickBooks.
Physical Requirements:
- Ability to communicate effectively, both in person, in writing, and over the phone.
- Must be able to see computer screen and view, read, and type documents.
- Must be able to sit for long periods of time.
Compensation:
Salary ranging from $15 - $20 per hour, commensurate with qualifications and experience.
