Agency Partnership Coordinator
We are seeking a highly motivated, detail-oriented individual with exceptional written and verbal communication skills to join our team. The ideal candidate will collaborate effectively with internal stakeholders and external partners, demonstrate strong follow-through to ensure tasks are completed accurately and on time, and quickly learn and adapt to new applications for seamless integration and utilization. The role requires strong critical-thinking skills to troubleshoot issues, perform root cause analysis, and assist in resolving system access problems promptly and securely.
Pay: $55,000/YR Key Responsibilities:Systems Access Management:
Manage the end-to-end process of access controls for Promotional Review Systems (Content Lab, Illuminate, & LARA) for internal staff and external agency partners, including invitations to the Guest Portal, the assignment and confirmation of training completion and creation of service now tickets.
Process system inactivation notices when team members leave the agency or move off the ViiV accounts Mailbox Management:
Daily management of the Agency Connect mailbox to triage and address questions from external partners related to Promotional Review Process, Systems and access to our systems, ensuring timely and accurate responses.
Communications:
- Manage the Agency Partner Forum agenda, webinar links and posting of slides & recordings to Illuminate.
- Update and maintain the Promotional Review Distribution Lists, including the Agency Connect distribution list.
- Review and coordinate Agency Connect Communications from key stakeholders.
- Provide backup support to the Agency Partnership Manager by sending out Agency Connect communications.
Reporting & Roster management:
- Run twice daily US Access reports from Content Lab, Illuminate and LARA.
- Post reports in Smartsheet, updating the Internal and External access sheets.
- Provide support in the maintenance of an Agency KPI tracker, including reports and dashboards in Smartsheet.
- Run metrics for the Agency Oversight Manager to support decision-making and agency performance evaluations.
- Run quarterly Agency Workflow assignment and completion reports from Content Lab and update the Agency Rollup Reports.
Training Material management:
- Transition Illuminate document tracking from excel to Smartsheet and establishing process for updating and creating new documents for posting in Illuminate.
- Maintain the Illuminate document tracker in Smartsheet, noting owner changes, when files are updated or removed.
- Follow up with internal stakeholders to ensure training materials are reviewed and updated regularly, maintaining the relevance and effectiveness of the content.
