Intake/Traffic Coordinator

Accentuate Staffing is currently recruiting for a creative Intake/Traffic Coordinator for a global pharmaceutical company in RTP, NC. This position will be 4 days in office and 1 days remote. As the creative team expands and provides more support to our Commercial team, we need additional people resources for a Creative Intake Coordinator to manage new workflows and production.

Responsibilities:

• Provide day to day project coordination and administrative support for the Creative Team within the Marketing organization
• Track and manage project timelines, deliverables, and approvals to ensure work progresses on schedule and deadlines are met
• Serve as a primary point of contact between Marketing, Creative, and internal partners for creative intake, workflow questions, and status updates
• Communicate clearly—verbally and in writing—to provide status updates, follow up on action items, and escalate risks or roadblocks as needed
• Coordinate reviews, revisions, and approvals across multiple stakeholders, and support weekly creative production status meetings with accurate tracking and reporting
• Gather project requirements, translate them into clear next steps, assign tasks, and maintain organized, up to date workflows across active projects
• Manage creative requests end to end, including intake clarification, project assignment, workload balancing, progress tracking, and follow up with requestors
• Support the creative approval process by entering and maintaining creative jobs in the Veeva Promomats system in accordance with established workflows

Requirements:

• Strong organizational skills and attention to detail
• Effective time management abilities, including planning and prioritizing workloads
• Ability to multitask and work with minimal supervision
• High proficiency in collaboration across multiple stakeholders and different teams
• Preferred (not required): Experience in creative production or logistical teams (with emphasis on trafficking/coordinator roles)
• Preferred (not required): Experience with workflow planning software or approval software (ie Adobe Workfront, Monday.com, Jira, Wrike, Asana, Airtable, Veeva Promomats
