Administrative Manager
Evolution Safety Resources (ESR) is a national Workplace Safety Consulting and Staffing firm headquartered in Raleigh, NC. We partner with construction clients to deliver high-performing safety professionals who protect people, projects, and profitability. We’re seeking an Administrative Manager & Executive Assistant for a full-time, permanent position. The role will support the day-to-day operations of our Raleigh office and provide direct administrative support to the leadership team. This role serves as the central point of contact for office operations, vendor management, and executive scheduling. The ideal candidate is highly organized, exercises sound judgment, and can manage competing priorities with professionalism and efficiency. OFFICE ADMINISTRATION
• Serve as the first point of contact at the front desk, greeting clients, visitors, and vendors
• Maintain office organization and ensure supplies, equipment, and common areas are consistently stocked and orderly
• Manage vendor relationships, including service contracts, maintenance scheduling, and performance follow-up
• Perform monthly credit card reconciliation and maintain accurate expense documentation
• Coordinate facilities needs, including inventory requests and workspace logistics
• Develop and maintain office systems, procedures, and filing to support team efficiency
• Handle incoming and outgoing correspondence, calls, mail, and deliveries EXECUTIVE SUPPORT
• Coordinate travel arrangements for leadership, including flights, hotels, ground transportation, and itinerary management
• Register leadership for industry conferences, trade associations, and professional events
• Manage executive calendars, schedule meetings, and coordinate logistics for internal and external appointments
• Prepare correspondence, presentations, and briefing materials as directed
• Track key deadlines, action items, and renewals on behalf of leadership
• Handle sensitive and confidential information with discretion and professionalism
• Provide general administrative support across departments as needed REQUIRED QUALIFICATIONS
• Minimum 2 years of experience in an administrative, office management, or executive support role
• Demonstrated ability to prioritize and manage multiple responsibilities in a fast-paced environment
• Strong written and verbal communication skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office tools
• Experience with expense tracking, credit card reconciliation, or basic financial administration
• High level of professionalism, reliability, and attention to detail PREFERRED QUALIFICATIONS
• Associate's or Bachelor's degree in Business Administration or a related field
• Experience supporting senior leadership or C-suite executives
• Familiarity with travel booking platforms and calendar management tools
