Mail Services Team Lead – Mail Services Operations - GRAHAM NC
The Mail Services Team Lead is responsible for overseeing daily operations on the production floor and leading production operators to accomplish daily production quotas. Also, maintaining mailing equipment to produce high-quality mail pieces. This role involves managing the entire mail services process, from receiving and mailing packages, working with refund checks, ensuring accuracy, efficiency, and compliance with company standards.
Responsibilities
- Oversee production operations at the direction of management.
- Field email correspondence and assist with distribution of supplies for remote workforce.
- Create, maintain and communicate SOP (standards of procedure) documentation and training of team members when new procedures are implemented.
- Maintain inventory levels and order weekly production and office supplies.
- Receive and unload supplies from inbound trucks and organize inventory.
- Guide mailroom courier drivers to pick up and deliver routes to post office and local branches.
- Bring supplies from warehouse to floor to accommodate daily production.
- Document production volume data for daily, weekly and monthly spreadsheet reporting.
- Work with management and department leaders to adjust staffing as needed to accommodate production deadlines.
- Organize weekly staff meetings and trainings and backfilling for communication to management.
- Responsible for maintaining daily spreadsheet totals for invoices and emailing to various customer support within the organization.
- Conduct quality checks on printed materials and inserted materials to ensure compliance with client requirements and company standards.
- Maintain accurate records of production and quality control activities and report any defects or issues to management.
- Review production orders and set up and configure machinery according to job specifications.
- Maintain quality of production and monitor operations to remove waste and increase efficiency.
- Establish and maintain department SOP (standards of procedure) documentation.
- Adhere to all safety protocols and guidelines to ensure a safe working environment.
- Comply with company policies.
- Communicate effectively with management, supervisors and team members.
- Will be required to follow any other job-related instructions and perform any other job-related duties requested by anyone authorized to give instructions or assignments.
- Backup mail sorting, printing, inserting, and logistic operations to include:
- Operate mail processing machines and assist with inserting handwork.
- Access database to print documents for mail match and inserting.
- Process shipments for USPS and FedEx and report delivery confirmations and tracking.
- Perform routine maintenance for mail processing machines and initiate vendor service calls as needed.
- Back up courier drivers to maintain pickup and delivery schedule.
Requirements
- High school diploma or equivalent required.
- 1 year of experience in production operations and machine operator experience is required.
- 1 year of experience as a team or shift leader, lead operator or quality inspection required.
- Must have a valid NC Driver’s license to be able to meet requirements by Fleet management systems for courier services required.
- Knowledge of Microsoft office for email, word processing and maintaining spreadsheets strongly preferred.
- Some operations require frequent standing, walking, crouching, bending, kneeling, lifting, and using repetitive motions of hands or wrists; finger, grasp, handle, or feel; reach with arms and hands for extended periods strongly preferred.
- Fast-paced, deadline-driven environment requires the ability to manage multiple tasks strongly preferred.
- Strong diligence and commitment to producing high-quality work strongly preferred.
- Ability to troubleshoot and solve technical issue strongly preferred.
- Good organizational and time management skill strongly preferred.
- Excellent communication and teamwork abilities strongly preferred.
- Must be able to lift fifty pounds and push/pull heavy load bearing cart.
- Able to pass a standardized color blindness test.

Pay Range: $ 17.75 - $21.00 per hour
Shift: Mon-Fri, 6:30am-3pm Eastern Time
All job offers will be based on a candidate’s skills and prior relevant experience, applicable degrees/certifications, as well as internal equity and market data.
Benefits: Employees regularly scheduled to work 20 or more hours per week are eligible for comprehensive benefits including: Medical, Dental, Vision, Life, STD/LTD, 401(k), Paid Time Off (PTO) or Flexible Time Off (FTO), Tuition Reimbursement and Employee Stock Purchase Plan. Casual, PRN & Part Time employees regularly scheduled to work less than 20 hours are eligible to participate in the 401(k) Plan only.
