Office Administrator

About the Role:

Are you organized, friendly, and ready to be the glue that holds a busy service office together? We’re looking for a General Office Rockstar to join our growing team! If you love keeping things running smoothly, juggling a variety of tasks, and being the go-to person everyone can rely on—you might be exactly who we need.

This role supports our HVAC and plumbing operations with everything from answering phones and booking jobs to helping with billing and organizing technician schedules. Experience in a service-based business is a huge plus—and if you’ve worked with ServiceTitan , you’re already ahead of the game!

What You’ll Be Doing:

Answering Phones & Helping Customers

• Be the first friendly voice customers hear
• Book service calls and dispatch with accuracy and care
• Keep customers updated and happy

Office Organization & Admin Support

• Keep our files, schedules, and job folders tidy and up to date
• Help our techs stay on track with job paperwork and daily coordination
• Jump in wherever needed to keep the office humming

Accounting & Billing Tasks

• Assist with invoices, payments, and deposits
• Track accounts receivable/payable
• Help with timecards and payroll prep
• Keep records accurate and organized

Tech-Savvy Admin Work

• Enter and manage data in ServiceTitan (bonus points if you’ve used it!)
• Use Microsoft Excel, Word, and Outlook daily
• Keep our digital systems clean and efficient

What We’re Looking For:

2+ years in an office/admin role (bonus if it’s in HVAC, plumbing, or similar)

Solid bookkeeping or basic accounting knowledge

Super organized and detail-oriented

Confident on the phone and great with people

Quick with tech (Excel, email, scheduling software)

ServiceTitan experience = BIG PLUS

Team player with a positive, can-do attitude
