The Finance and Operations Coordinator is a new member of our Finance and Operations team and plays an important role in building relationships, managing data, and keeping systems running efficiently to support UWABC’s long-term strategic vision. This position touches many parts of the organization — from Human Resources to IT and Finance — ensuring our people and processes are set up for success.
Position is responsible for providing well-rounded administrative and systems support across multiple areas. This includes coordinating recruitment and onboarding, serving as the first point of contact for staff HR and IT requests through our ticketing systems; keeping technology inventories up to date and supporting financial operations.
KEY RESPONSIBILITIES
Human Resources Coordination
- Provide administrative support to HR processes, including, but not limited to recruitment coordination, new hire onboarding, personnel file maintenance, vehicle/driver’s license checks, and scheduling employee training
- Manage the HR ticketing system and act as the first point of contact for employee inquiries and escalate issues to HR Director when necessary
- Understand and uphold the extremely confidential nature of the position and documents relating to the position
- Follow all established HR processes and recommend improvements to the HR Director as appropriate
- Participate in Sunshine Committee to support and engage fellow employees
IT Coordination
- Serve as the first point of contact for staff IT support requests, managing the ticketing system and escalating issues to external IT contractors or internal staff as needed
- Assist with basic IT troubleshooting and support for staff using company systems and tools (e.g., Google Workspace)
- Maintain an updated inventory of organizational technology assets, software licenses, and user accounts
- Coordinate with IT vendors on routine service requests, access needs, and basic troubleshooting follow-up
- Support organization of electronic file storage system (Google Drive)
Finance Coordination
- Assist the Pledge Processing Manager with researching and processing campaign envelopes
- Research and support the agency eligibility process for designations
- Schedule quarterly designation reports to agencies in Salesforce
- Support the ePledge process
- Create year-end donor tax letters
- Support the monthly gift reminder process
- Maintain data integrity standards
- Assist the Finance Manager with cash and check deposits
- Conduct quarterly pre-audit reviews of transactions and envelopes
- Assist with the annual internal audit
Cross-team Coordination
- Assist in developing and maintaining systems, templates, and documentation that support organizational efficiency as needed
- Contribute to compliance, reporting, and recordkeeping processes to ensure organizational standards are consistently met

Minimum Requirements
- Associate degree in Business Administration, Human Resources, Accounting, or related field OR equivalent combination of education and administrative experience
- At least 2 years of administrative support experience, preferably in a multi-department environment
- Ability to handle sensitive information with a high degree of discretion and integrity
- Experience with general HR processes, including recruitment, onboarding, and employee records management
- Excellent editing skills and attention to detail
- Experience working in deadline-driven environments
- Commitment to UWABC's guiding principles and ability to model those principles
Technical Skills, Abilities and other Requirements
- Requires intermediate to advanced knowledge and application of Microsoft Office/Google Suite, and other software, including Zoom and Asana
- Ability to learn and use a variety of other software platforms including HRIS, ATS, and ticketing software
- Ability to define problems, collect data, establish fact and draw valid conclusions
- Ability to effectively relay information and respond to questions from internal staff. Requires well-developed interpersonal communication skills, tact and diplomacy to develop and maintain effective internal customer service.
- Requires basic mathematical skills of addition, subtraction, multiplication and division. Ability to compute rate, ratio, percent and draw and interpret graphs.
- Ability to solve routine problems within standardized policies and procedures. Ability to interpret a variety of instructions furnished in written, oral, or schedule form. Requires independent initiative under both specific and general supervision.
- Basic bookkeeping or accounting knowledge
- Ability to write in a professional manner
- Proven ability to take initiative and carry projects to completion with minimum supervision

- Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus
- Moderate level of stress caused from tight deadlines
- Moderate level of mental and/or visual fatigue and/or eyestrain may result from looking at a computer screen for extended periods of time
- Moderate office noise level
This position is non-exempt from overtime regulations. Hybrid work environment: a mix of office and remote, with the majority of the hours being in the office. As part of our hybrid work policy, new employees are required to work from the UWABC office a minimum of 3 days per week for the first 90 days and then, the schedule can be modified based upon conversation with the supervisor and organizational needs.

Hours: 37.5-40/week
Hiring Range and Benefits: $23-$25 per hour depending on experience plus full benefits, including paid holidays, vacation, sick and personal leave; employer contributions to 401(k), 100% employer paid health, dental and vision insurance benefits for employee and employer contributions for dependents, 100% employer paid life and disability insurance, and coaching and support.
