Senior Practice Administrator

New Leaf Behavioral Health, a non-profit mental health organization in Raleigh, North Carolina, is seeking a Senior Practice Administrator to lead our administrative team and ensure the highest level of operational excellence.
This is a full-time, salaried, on-site position at $50,000 annually, offering a unique opportunity to make a significant impact on our ability to provide exceptional patient care.
About the Role:
As our Practice Administrator, you will be at the forefront of ensuring our administrative functions run with precision and accuracy. You'll be a vital leader, working closely with our administrative team to prioritize key tasks and uphold our commitment to quality.
Your responsibilities will encompass a blend of patient-facing and back-end administrative duties, including:
Patient Care Administration:
- Overseeing client check-ins and ensuring a welcoming and efficient arrival process.
- Guiding the team in accurate scheduling and rescheduling of appointments.
- Monitoring and reconciling client balances within our system.
- Ensuring strict adherence to all established policies and procedures related to patient care.
- Managing patient intake processes, including verification of demographics and insurance information.
- Coordinating and maintaining patient records, ensuring confidentiality and compliance with HIPAA regulations.
- Facilitating communication between patients and clinical staff regarding administrative matters.
- Addressing patient inquiries and resolving administrative issues with a high level of customer service.
- Overseeing the management of waiting lists and patient flow to optimize provider schedules.
Back-End Operations:
- Developing a deep understanding of insurance billing processes and ensuring accurate claim submission.
- Optimizing client setup within our systems to ensure smooth downstream operations and data integrity.
- Collaborating to develop and refine written instructions and policies for all administrative functions.
- Managing credentialing and re-credentialing processes for clinical staff with insurance panels.
- Monitoring and reconciling insurance payments, denials, and appeals.
- Maintaining accurate and up-to-date provider information in all relevant systems.
- Assisting with the implementation and optimization of electronic health record (EHR) systems.
- Generating and analyzing administrative reports to identify trends and areas for improvement (e.g., no-show rates, billing cycles).
- Ensuring compliance with all relevant regulatory requirements (e.g., state licensing, HIPAA, OIG).
- Managing office supplies and equipment, ensuring the practice has the necessary resources to operate efficiently.
