Our commitment is to develop sound management practices to add long-term value to our client's properties by focusing on asset stabilization, tenant retention strategies, efficient planning of tenant improvements, and a diligent approach to reducing operating costs.
The Administrative Assistant will assist the Property Manager in performing administrative and office support activities for a commercial office building(s).
Responsibilities
• Coordinates Fire/Life Safety Procedures for all tenants, including tenant related correspondence-emails, captivate, newsletters, etc.
• Assist with coordinating with tenant move-ins and move-outs
• Coordinate access between building personnel and tenants to include tenant and vendor access to suites with security
• Ensure that all emergency after-hours contact information is current for both employees and vendors
• Updates all Tenant and Vendor contact information
• Manages Tenant and Vendor files.
• Updates Tenant and Vendor insurance certificates
• Manage the property work order system, input service requests, assign tasks, close out completed work orders, and following up on all open work orders daily
• Assists in preparing vendor service contracts
• Assists in entering accounts payable invoices into Yardi Accounting software
• Responsible for all aspects of administrative management and all day-to-day operations
• Answer phone calls, emails and other business correspondence as well as sending and receiving mail and/or overnight packages
Education
• Associate’s degree (AA/AS)
• High School Diploma (or equivalent)
Qualifications
• Proficient with Microsoft Office. Knowledge of Yardi is a plus
• Experience and/or training in Commercial Property Management is a plus

Compensation
Commensurate based on qualifications & experience per hour
